Job Overview

We are seeking a dynamic and organized Receptionist/Administrative Assistant (2-4hrs per day) to join our team! This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess strong organizational skills to manage multiple tasks efficiently. You will be the first point of contact for visitors and callers, providing a warm welcome while handling a variety of clerical duties that keep our office running seamlessly. This paid position offers an exciting opportunity to develop your administrative expertise in a professional environment that values productivity and teamwork.

Duties

Greet visitors and clients with professionalism, ensuring a positive first impression
Manage multi-line phone systems, directing calls accurately and courteously
Handle incoming and outgoing correspondence, including emails, mail, and packages
Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents
Perform data entry tasks with high accuracy using productivity software such as Microsoft Office and Google Workspace
Assist with calendar management, scheduling appointments, meetings, and reminders for staff
Support office management tasks including supply inventory, proofreading documents, and maintaining office equipment
Provide exceptional customer service by addressing inquiries promptly and professionally
Coordinate front desk activities to ensure smooth daily operations and efficient visitor flow
Support bookkeeping activities using QuickBooks or similar accounting software when needed

Experience

Proven office experience or administrative support background in a fast-paced environment
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry tools
Excellent phone etiquette with experience managing multi-line phone systems
Bilingual abilities are highly desirable to serve diverse client needs effectively
Prior experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous
Demonstrated organizational skills with the ability to prioritize tasks efficiently
Clerical experience including filing, proofreading, and document management
Familiarity with office management practices and technical proficiency in productivity software
Customer service expertise with a friendly demeanor and strong communication skills
Ability to handle confidential information discreetly while maintaining professionalism at all times
