Full Job Description

Classification/Status: Non-Exempt – Full Time

Reporting To:BA Services Coordinator

Overview:

The Process Improvement Associate supports organizational efficiency by assisting in the analysis, documentation, and improvement of operational workflows. This role works closely with senior team members and cross-functional partners to understand current processes, capture requirements, and contribute to the development of streamlined, user-friendly solutions, primarily using Smartsheet. The ideal candidate is detail-oriented, organized, and eager to learn, with a strong interest in process improvement, data analysis, and workflow automation.

Position Functions and Responsibilities:

· Assist in meeting with stakeholders to document current workflows, business requirements, and pain points.

· Support process mapping sessions by capturing workflows and helping identify improvement opportunities.

· Collect, organize, and analyze operational data to assist in identifying inefficiencies and trends.

· Assist in translating business needs into basic functional requirements for Smartsheet solutions.

· Build and maintain Smartsheet assets including sheets, reports, dashboards, and forms under guidance.

· Support the creation of standardized templates to ensure consistency across workflows.

· Assist in implementing basic automation such as alerts, reminders, and approval workflows.

· Help maintain and update existing Smartsheet solutions based on feedback and changing needs.

· Assist in integrating data where applicable using tools such as Data Shuttle or imports (as directed).

· Support workflow updates to improve clarity, reduce redundancy, and enhance usability.

· Help document processes through SOPs, process maps, and user guides.

· Assist in preparing materials for training sessions and onboarding users to new tools or processes.

· Monitor assigned solutions and escalate issues or inconsistencies to senior team members.

· Provide basic troubleshooting support for Smartsheet-related questions and issues.

· Assist with help desk tickets and ensure timely follow-up and communication.

· Collaborate with internal teams to ensure solutions align with operational needs and standards.

· Support data accuracy and validation efforts within Smartsheet environments.

· Assist in building and updating dashboards that track key operational metrics.

· Help manage access requests and permissions under supervision.

· Participate in testing new features, workflows, or enhancements.

· Assist in maintaining intake forms and tracking requests for projects or process improvements.

Help evaluate new Smartsheet add‑ons and any other tools or integrations that could enhance organizational efficiency.

· Assist with any additional special ad-hoc projects and/or requests as assigned by the department.

Required Qualifications and Skills:

· 1–2 years of experience in process improvement, operations, project coordination, or a related field.

· Familiarity with Smartsheet; Smartsheet certifications are a plus.

· Basic understanding of programming concepts and familiarity with Python or similar languages is a plus.

· Strong analytical and problem‑solving skills.

· Self-motivated and driven with ability to work independently within a collaborative work environment.

· Excellent communication skills, with the ability to translate technical concepts into user‑friendly language.

· Basic understanding of workflow automation and data visualization.

· Ability to manage multiple tasks and collaborate with diverse teams.

· Participates, and interacts professionally during meetings.

· Professional phone etiquette, appearance and demeanor.

Supervisory Responsibility:

· This position has no supervisory responsibilities.

Work Environment & Schedule:

· This is an on-site position in an office setting.

· Regular overtime is required and considered an essential function of the position.

· Occasional travel to business related events, offices and/or seminars is required.
