Job Summary

We are seeking a dynamic and friendly Front Desk Staff member to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive experience for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your administrative skills in a fast-paced environment while supporting the overall efficiency of our office.

Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle data entry tasks accurately using Microsoft Office, Google Workspace, and other office software
Maintain organized filing systems and manage document proofreading to ensure accuracy and clarity
Support office management activities including calendar management, appointment scheduling, and personal assistant tasks
Assist with bookkeeping responsibilities such as QuickBooks data entry and basic bookkeeping tasks
Provide customer support by addressing inquiries, supporting client needs, and ensuring excellent service throughout interactions

Requirements

Proven experience in front desk operations or office management roles with strong organizational skills
Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
Strong communication skills with the ability to handle multi-line phone systems confidently and professionally
Bilingual abilities are highly preferred to serve diverse client populations effectively
Previous clerical or administrative experience is advantageous, including filing, proofreading, and calendar management
Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail
Experience with bookkeeping software such as QuickBooks is a plus; familiarity with office equipment like printers and fax machines is beneficial
