Job Summary

PURPOSE AND SCOPE OF THE ORGANIZATIONAL UNIT
The Office of Student Retention and Completion is a part of the Student Affairs Division at MCC and drives the successful improvement of student retention and graduation rates and serves as a centralized space for students to access common student services to strengthen their ability to navigate Mesa Community College and achieve their academic and career aspirations. The goal of the Retention and Completion area is to enhance the student experience by providing support with educational planning, resource awareness, and success strategies. The unit leads, coordinates, and implements targeted interventions guided by evidence-based practices and institutional data and analytics to support student success and the institution’S retention and persistence goals through the provision of academic supports and early intervention strategies that promote student success. The office provides a myriad of workshops, activities, and programming that promote a successful college transition, student development and self-efficacy, academic and personal success, engagement, timely graduation, and lifelong learning from the first year to graduation. In addition, the Office of Student Retention and Completion leads and supports large- and small-scale assessment projects, while developing and monitoring early alert systems and protocols. The unit is comprised of critical functional areas that include: Academic Advising, First-Year Success, TRiO, American Indian Institute, International Education, and Mesa College Promise.

PURPOSE AND SCOPE
Under the direction of the Director, Academic Advising, the Advising Coordinator is responsible for planning and daily implementation of comprehensive specialized advising services by delivering high-quality support services to include educational/degree planning, course selection and registration, academic support, resource awareness, and retention and success strategies – all in an effort to increase retention, progression, completion, and time-to-degree completion of MCC students. In addition, supervise a team of professional academic advisors, while managing an assigned student caseload and providing advising, registration, and enrollment services. The position assists with the design and implementation of effective advising strategies, student engagement and communication plans, recruitment initiatives, New Student advising initiatives, and other identified strategies to increase MCC retention and graduation rates. The work is proactive and designed to assist the student to the completion of a credential or degree. The position requires a high degree of student and staff interaction, communication, organization, and attention to detail. This position will focus on working with students in a manner that leads to persistence, retention, completion, and transfer to four-year institutions or their career field. The coordinator will utilize a variety of technology solutions in addition to in-person and virtual interactions to connect with students. The ability to effectively lead, strategize, problem-solve, adapt, demonstrate innovation, and utilize and learn new technology is essential.

DESCRIPTION OF WORK
Reporting to the Director, Academic Advising, the Advising Coordinator position coordinates advising case management services for specific Guided Pathway and Field of Interest (FOI) programs and supervises a team of professional academic advisors who delivers academic counseling regarding course selection, degree options, and other academic, transfer, career/workforce, and student development issues and strategies to improve academic performance. This is achieved in part by partnering with key staff and counterparts to deliver exceptional advising and learning support services to new and continuing students. This role shares some similar responsibilities with advisors as it manages a student caseload but is unique in that it also includes leadership responsibilities of to ensure the center is meeting deadlines, prepares reports on overall center activity, and steps in to assist with programming assigned to others when needed, while displaying strong business acumen and empathy for students.

The coordinator position will also serve as a resource, connecting students to academic support, advising, career advising, financial aid, and other support services, and providing them with the information they need to be informed on the support services they can utilize. In conjunction with other campus partners, the coordinator facilitates degree completion, often through assisting students to remove barriers to finishing their degrees, and by assisting in the development of tailored pathways to graduation, when appropriate. The position also develops campaigns and strategies for stop-out students who are near graduation to develop completion plans. Additionally, the position will coordinate academic advising strategies during priority and peak registration periods to support retention, persistence, and completion, by identifying students who are not registered for classes in the following term.

Essential Functions

Support community college progress to graduation by providing advising related to supplemental support, learning strategies, learning preferences, and administrative services to new and continuing students inclusive, but not limited to:

40% Leadership

Responsible for the management and support of day-to-day operations of assigned Academic Advising Center, in collaboration with the Director.
Serve as the lead advising coordinator for specific FOI advising pathways.
Serve as the primary liaison for proactive and relational advising and outreach initiatives in partnership with and support of institutional academic, student success, and advising staff.
Coordinate and manage work activities of assigned FOI advising programs as directed and supervise a team of advising professionals.
Manage the daily activities of the team and collaboratively set retention goals for the team on a regular basis.
Oversee the academic advising team (such as leading in person team meetings, coaching, holding one-on-one meetings), ensuring students receive personalized guidance for academic planning and career pathways.
Lead teams in the design and delivery of guiding MCC students on academic, transfer, career/workforce, and student development issues, needs, or experiences.
Administrative support responsibilities will vary based on institutional and departmental needs but will include tasks such as scheduling, managing new initiatives, advisor assignment, assessment, office coordination, maintaining records, developing reports, budgeting, and project development for and in collaboration with the Director of Academic Advising.
Develop, direct, plan, organize, and implement long-range retention and student success strategies/programs that align with accreditation agencies, institutional policies, administrative regulations, and support research-based best practices for college-wide enrollment, retention and persistence efforts.
In collaboration with the Director and peers develop metrics, policies, and procedures and program health assessment for establishing and achieving objectives in retention, persistence, and student success.
Develop and utilize a robust data strategy and other technological advances to create a model retention program for in-person and online students.
Manage/Co-manage student success initiatives and programs.
Process and support team with registration tasks, including problem enrollments, drop/adds, and so forth.
Conduct in a program health assessment and data analysis to identify institutional barriers to inform program improvement, with a related track record of leadership in areas impacting student achievement, persistence, completion, and career readiness.
Develop and coordinate proactive and intervention strategies that include faculty, advisors, and to ensure students remain on track to complete their education.
Collaborate with faculty to analyze, interpret, and implement processes as they relate to student engagement, retention, persistence, academic advising, and student success.
Demonstrate initiative working collaboratively and cooperatively with division and college-wide leadership to contribute to the development of student retention strategies and provide periodic analysis of impact.
Develop goals and objectives for areas of supervision and collaborate with the administration in the area of long-range planning and coordinate special projects involving enrollment management, student services and other initiatives partnering with internal and external stakeholders.
Problem-solve and potentially refine strategies, assistive technologies, and/or reasonable accommodations.
Supervise, hire, evaluate, and train staff - both virtually and in person. Ensure appropriate professional development of employees within the department.
Manage, coach, train, and help develop a high-performing team and build unit capacity to ensure that staff and unit operations are optimally aligned with the needs of the service population. Ensure high levels of retention, achievement of goals and quality of results from all team members. Observe behaviors and practices to develop coaching plans.

30% Academic Advising

Provide in-person, phone, virtual, face-to-face, chat, and email academic planning and advising to current, returning, and ‘Stop Out’ students on degree programs, including course selection, academic planning, college adjustment, and referrals to college resources.
Manage a caseload of students and guide MCC students on academic, transfer, career/workforce, and student development issues, needs, or experiences through ongoing assessment of individualized resources and access-based needs to support the achievement of the students’ goals including, but not limited to, executing skill building, ensuring proper program placement, successful enrollment, course completion, retention, graduation, transfer and/or job placement, and triaging student crises.
Apply advanced student development and academic advising theories, knowledge, and experience to support community college students in identifying, defining, and obtaining educational goals.
Engage and build relationships with students through scheduled advising appointments, drop-in advising hours, email communications, workshops, and presentations to maximize their experience at MCC.
Empower students through holistic, high-touch, collaborative advising to achieve their own definition of academic and personal success.
Advise students on a wide range of course possibilities and ways to complete complicated degree requirements.
Educate students on the full range of academic and nonacademic opportunities, such as internships, undergraduate research, scholarships, and extracurricular activities.
Collaborate with students to identify barriers contributing to academic decline and/or disengagement, as well as personal strengths and community resources to overcome those obstacles.
Verify degree completion requirements.
Support students under Academic Review after their student status is no longer in "Good Standing."
Communicating regularly with students.
Conduct timely outreach to at-risk students and help them create action plans for improvement.
Track and monitor student academic progress and maintain accurate student outreach records and other interactions utilizing technology and system.
Conduct assessments of students’ needs to make referrals to supports and services.
Provide guidance to students in the development of academic plans, selection of courses to meet program, graduation, and transfer requirements and registration procedures by using knowledge of sound academic advising, curriculum/course requirements, and policies and procedures of the admissions/enrollment, business, financial aid, and veteran affairs offices.
Provide academic planning and advising guidance to current, returning, and prospective MCC students in-person, via phone, virtual face-to-face meeting, chat, and email.
Identify at-risk students and implement strategies that promote and support student success.
Provide coaching to students on academic and learning strategies.
Respond to the early alert flags for assigned students at risk and implement interventions to promote retention.
Embed learning opportunities into practices to develop student self-advocacy skills and foster autonomy.
Work collaboratively with unit colleagues to develop high-quality student resources (e.g., training, handbooks, workshops, presentations, forums).
Connect students with relevant on- and off-campus resources and offer guidance and support in navigating dynamic, fast-paced learning environments.
Demonstrate capacity, skill, and willingness to engage students and contribute to student success.
Implement and continually develop best practices.

15% Program and Event Coordination

Co-manage with the planning and execution of retention-related programs, workshops, and events.
Develop and facilitate presentations, workshops, and/or online supplemental resources to teach specific academic skill sets to the students who most need them (e.g., Strategic Study Skills, Time Management, Learning Strategy, Avoiding Procrastination).
In conjunction with administration, develop and coordinate workshops, panel discussions, (e.g., New Student Orientation, Major Declaration, Campus Days, Academic Coaching, Faculty Orientation) and other sessions for students, faculty, and staff on a variety of topics including advising, transfer, etc.
Develop and implement communications and marketing strategy to advertise student retention and completion workshops/events by submitting marketing requests for flyers, website visibility, digital screen visibility etc. and communicating opportunities to students through college platforms.
Support the development of recruitment strategies and events for the college in collaboration with college leadership.
Review data and adjust details to increase program effectiveness and student outcomes. Collaborate with faculty and administrators in the development, evaluation, and revision of programs and practices. Partner with department chairs, directors, and deans to create strategic pathways for student retention.

10% Data, Reporting, and Compliance
Ensure compliance and follow, understand, and adhere to federal, state, District Office, and institutional regulations/laws/policies.
Maintain confidentiality and accuracy of student records, files, and correspondence as required by the Federal Educational Rights and Privacy Act (FERPA), accreditation agencies, organizational policies, and administrative regulations to ensure compliance.
Research, collect, and analyze data or information and prepare reports or responses to inquiries.
Support data collection efforts for evaluating program effectiveness and student outcomes.
Collect and organize data related to student retention, academic performance, and engagement.
Use access to sensitive and/or not yet public college-related information only in the performance of the responsibilities of the position and exercise care to prevent unnecessary disclosure to others.
Utilize relevant, appropriate, and approved systems to communicate and monitor student interaction and progress.
Monitor the compliance and reporting standards and remain abreast of district, state, and federal regulations.
Prepare accurate reports and documentation as required and requested. Track and monitor federal grants; prepare and monitor department budgets and other related items.
Ensure students equal access to MCC’s curricular and co-curricular activities. Support students and counsel them to better understand their MCC experience.

5% Other

Serve on various executive boards, college and district committees (including locally, regionally, and nationally) as designated and participate in meetings and conferences.
Responsible for other reasonable related duties as assigned commensurate to the grade level of the position.

Minimum Qualifications

Bachelor’s Degree from a regionally accredited institution in education, sociology, business administration or related field and four years of progressively responsible student services experience coordinating, administering, planning, or evaluating.

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A Completed Master’s degree in Higher Education, Student Affairs, Counseling, or related field from a regionally accredited institution

B Minimum of 3 years of experience in academic advising including expertise in major specific advising and graduation requirements.

C Minimum of four (4) years’ experience implementing case management, retention, persistence, and student success programs and procedures at an institution of higher education.

D Demonstrated use of and success using proactive and/or innovative student-centered advising strategies and approaches in implementing student-centered advising strategies that improved retention and persistence rates.

E Experience supervising and/or leading teams in higher education.

F Experience conducting data analysis to inform and enhance student success initiatives supported by quantitative and qualitative data.

G Experience with PeopleSoft, case management, and advising tools.

I One year of relevant full-time MCCCD experience during the previous two years.

Special Working Conditions

Work schedule varies during the year: August through mid-May: Monday - Friday, 8 hour days; mid-May through the end of July: Monday - Thursday, 10 hour days
May require working evening and weekend hours (example: Saturday coverage during peak weeks)
Required to sit for a prolonged period of time; viewing a computer monitor
May be required to travel or be assigned to another MCCD location
Travel to campus during interview/selection process will be at candidate's own expense
