Full Job Description

Director of AI & Automation

Vardis is a boutique, retained executive and board recruiting firm which serves private equity. We place CEOs, CFOs, CTOs, Board Directors, and CROs into PE-backed portfolio companies, with offices in Boston, Austin, London, and Frankfurt. Beyond PE, our work has included the Chief Data Officer search for the White House and board searches for large, publicly-traded Fortune 500 companies.

The role

We are already an AI-forward firm- we have a library of custom Claude skills, MCP integrations, and some HubSpot automation powering our research and client deliverables. Today, that automation layer has no in-house owner. This role is that owner.

You will own our AI and automation layer end to end- building agents and workflows, maintaining our prompt library and integrations, and pulling repetitive production work off the team. The mandate is simple: automate the labor-intensive parts of the search process and improve our marketing collateral, internal workflows, and candidate identification by leveraging AI. You do NOT need a recruiting background; the search side we can teach.

We want someone who can build. While we’ll continuously be automating the workflows of our search process, you’ll also have opportunities to build and refine new offerings- we’ve built a client-facing site which identifies what types of candidate backgrounds perform best in companies owned by private equity, which you can see here ( https://vardismoneyball.netlify.app/ )

A note on the title

We call this a “Director” because you will own an entire function solo, with real autonomy - but this is a build-first role, and what matters is what you can build, not your résumé. If you have 1-5 years of experience and have visibly shipped automations, do not rule yourself out on the title or your years.

What you will do

Automate candidate research with AI agents - source, enrich, and profile executives at scale across PitchBook, ContactOut, BrightData, and LinkedIn, and use AI to turn large candidate and market datasets into clear, usable analysis.
Own and extend our custom Claude skill library and integrations - audit prompts, document them, and build new skills as searches demand.
Own and refine our brand kits, marketing collateral, and brand voice, and comp reports (https://vardis.com/reports), case studies, and every client-facing asset - so everything is consistent and on-brand.
Support business development- help create thought-leadership content, publish search case studies optimized for search and AI answer engines (SEO / AEO / GEO), and match our 400+ search track record to the right investors for targeted BD outreach.
Automate deliverable production - route call transcripts into the right output and pre-draft candidate write-ups and client emails so the team only has to edit.
Assist/own RevOps- HubSpot sequences, multi-touch cadences, lead routing, CRM hygiene, deliverability, and LinkedIn sync.
Own our most ambitious internal builds - proprietary matching models, scoring algorithms, and data-heavy talent analytics. (Specifics shared confidentially.)
Help turn the AI tools we use internally into something we can offer PE clients directly, building on what we are already prototyping
Help automate rules based admin work - scheduling, interview reminders, and day-of touch points.

What we need (must-haves)

Extremely strong attention to detail. Our clients demand accuracy and while we want to maximize efficiency by leveraging AI, reducing drift and ensuring absolute accuracy in what you build is critical.
Significant hands-on experience with Claude- including Claude Cowork and building and refining custom Claude Skills. This is essential to how we work.
Experience building agentic AI- autonomous agents and multi-step AI workflows, not just prompting a chatbot.
Strong prompt engineering and real comfort building with LLMs generally (Claude, ChatGPT, Copilot, or similar).
Comfortable reading an API doc - JSON and a REST endpoint don't scare you, even if you're not an expert.
1-5 years in a role where you built things- whether it be in engineering, RevOps, marketing/sales ops, automation or GTM engineering, an AI/automation seat, or a self-taught technical BDR.
A portfolio of things you actually built- an AI agent or Claude project, an n8n/Zapier flow, a HubSpot sequence.

Nice to have (not required)

No-code / low-code automation experience - n8n, Zapier, Make, Power Automate, HubSpot, or similar.
Clay or similar AI outbound tooling - nice to have, not required.
Inbound marketing experience is a plus, not a necessity.
An eye for design and brand - keeping templates and collateral polished
Comfort analyzing large datasets and communicating the findings clearly.
Light Python scripting and comfort hitting third-party APIs.
Awareness of SEO and how AI answer engines surface content (AEO / GEO).

Where this role can go

We are open about the paths from here, and there is no single right answer: stay technical (AI, agents, internal and client-facing product- we will always have a need for AI projects and web apps we’ve built), move into sales and marketing (outreach, brand, and talent insights), or move into recruiting- interview candidates yourself and be paid for placements.

Location & schedule

The person must be comfortable working east coast hours (Boston time zone) . Roughly eight to nine hours per day with flexibility on where you work. If someone is in Boston and would like to work a few days a week in the office, that's certainly an option.
