We are seeking an exceptional Personal Executive Assistant & Household Operations Lead to serve as the trusted right hand to our CEO. This is a unique opportunity for a highly organized, proactive professional who enjoys operating at the intersection of executive support and personal life management.
This role combines traditional executive assistance with oversight of household operations, ensuring both business and personal priorities are executed seamlessly. About the Role
This is not a traditional Executive Assistant position.
You will serve as the CEO's strategic partner, helping manage business priorities while coordinating personal and household operations. Your success will allow the CEO to focus on leading the firm, knowing every detail behind the scenes is being handled with professionalism, discretion, and exceptional follow-through.
The ideal candidate thrives in a fast-paced environment, enjoys solving problems before they arise, and is equally comfortable coordinating executive meetings as they are overseeing vendors, managing travel logistics, or ensuring household operations run smoothly.
Executive Assistant Responsibilities
- Manage complex business and personal calendars while balancing competing priorities.
- Coordinate domestic and international business and personal travel, including detailed itineraries and last-minute changes.
- Manage email communications, prioritize correspondence, and track follow-up items.
- Prepare meeting agendas, briefing documents, and executive summaries.
- Coordinate meetings, appointments, speaking engagements, and special projects.
- Conduct research and present organized recommendations.
- Track ongoing initiatives, deadlines, commitments, and action items to ensure accountability.
Household Operations & Personal Support
- Oversee day-to-day household operations for the CEO.
- Coordinate and manage relationships with household vendors and service providers, including: Housekeepers, Landscapers, Maintenance and repair vendors, Delivery and installation teams, Household contractors
- Schedule recurring household services and preventative maintenance.
- Coordinate grocery orders, household inventory, and recurring purchases.
- Resolve household issues proactively before they become larger problems.
- Maintain household systems, operational trackers, and organizational processes.
Executive Lifestyle & Project Management
- Manage personal initiatives from planning through completion.
- Coordinate family logistics, appointments, reservations, and personal scheduling.
- Run weekly planning meetings with the CEO to review priorities, travel, projects, vendors, and upcoming commitments.
- Anticipate needs and proactively implement solutions.
- Ensure projects are completed accurately, on time, and with minimal oversight.
Family & Household Coordination
- Serve as the primary point of coordination for household service providers.
- Coordinate schedules and communication between vendors and household staff.
- Help maintain efficient household operations while respecting established role boundaries.
- Assist with occasional family-related logistics and travel planning as needed.
What We're Looking For
Required Qualifications
- 5+ years of experience as an Executive Assistant, Personal Assistant, Household Manager, Estate Manager, Family Office Professional, Lifestyle Manager, or similar role.
- Experience supporting a CEO, founder, executive, entrepreneur, or high-net-worth individual.
- Exceptional organizational and project management skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Outstanding verbal and written communication skills.
- Strong judgment, discretion, and professionalism.
- Proven ability to anticipate needs and solve problems independently.
- Experience managing vendors and outside service providers.
- Reliable transportation.
- Ability to work onsite in Boca Raton, Florida.
- Ability to pass a Level II State and Federal Background Check.
- Willingness to sign a Confidentiality and Non-Disclosure Agreement (NDA).
Preferred Qualifications
- Family office or private household experience.
- Luxury hospitality, concierge, or estate management background.
- Experience coordinating executive travel and events.
- Experience supporting high-net-worth families.
- Experience creating systems, SOPs, and operational processes.
