Full Job Description

Job Summary

We are seeking an Administrative Assistant to join our team in a role that involves significant client interaction and a wide range of responsibilities across tax, billing, and office operations. This position includes general administrative support, monthly financial reporting and invoicing, database updates, miscellaneous projects, and assembling financial statements and tax returns. If you are interested in joining our team, we would welcome the opportunity to speak with you about the position.

Expected Work Hours - Monday-Friday, 9am-5pm.

Major Responsibilities:

Answer and redirect phone calls
Schedule appointments
Set up new clients and update client profiles
Accept payments
Prepare invoices and assist with billing
Assemble tax returns and financial statements
Scan and upload documents
Conduct client checkout meetings for completed tax returns
Prepare mailings and faxes
Clean up and maintain database records

Additional Tasks:

Reserve meeting spaces
Assist with client account follow-up
Assist clients with software navigation and questions
Support professional staff as needed

Minimum Requirements:

High school diploma or equivalent
Experience with Microsoft Office, including Outlook, Word, Excel, and Teams
Experience with Adobe Acrobat
Solid written and verbal communication skills
Time management skills, with the ability to prioritize tasks
Willingness to learn

Ideal Candidate: The ideal candidate is organized, detail-oriented, and professional in client and team communications. They are adaptable, quick to learn new software, and able to manage multiple priorities while using good judgment and discretion with confidential information. Experience with Office 365 and industry-specific software is helpful. Prior experience in a CPA or professional services office is preferred but not required.

Pay: $23.00 - $27.00 per hour
