Event Operations Coordinator

Office Hours by Day. Event Magic by Night.The Role

We're looking for an Event Operations Coordinator who thrives on variety — someone equally comfortable behind a desk planning the details as they are on their feet bringing an event to life. This is a full-time position with weekday office hours, plus evening and weekend work as events require.

If you love the idea of spending your mornings mapping out logistics and your evenings watching those plans unfold in real time — this role was built for you.

What Your Week Looks Like

Weekday Office Hours: Event planning meetings, client tours, logistics & setup coordination

Evenings & Weekends (as needed:)On-site event support, guest service, day-of execution

Schedule flexes around the event calendar — some weeks are office-heavy, others are event-heavy.

What You'll Do

In the Office

Lead venue tours for prospective clients, showcasing spaces and answering questions with confidence
Sit in on and help run event planning meetings with clients and vendors
Coordinate event details: timelines, floor plans, vendor communication, supply lists
Assist with pre-event setup logistics and checklists
Follow up with potential clients to nurture leads and move them through the booking process
Support sales development efforts, helping grow and convert the client pipeline
Assist in developing and improving office systems and processes for greater efficiency

At Events

Support event setup and breakdown on-site
Serve guests and manage service needs during events
Act as a go-to problem-solver when things need adjusting in real time
Represent the company's hospitality and professionalism front and center

What We're Looking For

A natural communicator who's just as polished with clients as they are with a team
Someone organized enough to juggle multiple events in different planning stages at once
Comfortable switching gears — from spreadsheets and site walkthroughs to hands-on event service
Available for a full-time, mixed schedule: reliable weekday daytime hours, with flexibility for evenings/weekends when events are on the calendar
Prior experience in events, hospitality, or client-facing service is a plus — but energy and reliability matter most
