Schedule
Monday through Friday
10:00 AM to 6:00 PM
40 hours per week guaranteed
Evening and weekend availability may be required with advance notice
Flexibility is required based on the changing needs of the family and household

Compensation and Benefits
$100,000 gross annual salary
Employees are eligible for a total of ten combined paid sick and vacation days during the first year of employment. PTO begins accruing upon employment but may not be used until the employee has completed six months of continuous employment. Unused PTO does not carry over unless otherwise required by law or approved by the employer.

Position Overview
A busy, warm, and active private family in Odessa, Florida is seeking a highly organized, detail-oriented, computer-savvy, and proactive Hybrid Personal Assistant / Household Manager to support the day-to-day flow of two private residences located approximately 1.5 miles apart. The main residence is situated on Lake Keystone, and the second residence is occupied by elderly family members who require patience, kindness, and respectful support.

This is a long-term opportunity for a self-starting professional who thrives in a fast-moving household, enjoys creating systems, and understands the importance of discretion, confidentiality, professionalism, and working well with existing household staff.

The household includes two college-aged sons, a teenage daughter, a younger school-aged child, and extended family. The family travels periodically, hosts events in the home, and maintains an active lifestyle with sports, school activities, family gatherings, and frequent visitors.

Ideal Candidate
The ideal candidate is warm, friendly, meticulous, highly organized, emotionally mature, and naturally proactive. This person should be able to see what needs to be done without constant direction and should take pride in keeping the home running smoothly, organized, and presentable.

The right candidate will be comfortable working around children, elderly family members, existing staff, vendors, contractors, schools, coaches, and guests. A calm, kind, respectful, and professional demeanor is essential.

Strong technology and communication skills are required. The Family Assistant should be comfortable using email, shared calendars, spreadsheets, scanning systems, cloud storage, TeamSnap, online ordering platforms, return systems, and other digital tools to help manage household details efficiently and accurately.

The ideal candidate will also be flexible, adaptable, and able to shift priorities as family schedules change. This person must be comfortable with a household where needs can change quickly and where a proactive, solutions-oriented approach is highly valued.

Key Responsibilities
Maintain organization and order throughout the household

Assist with household systems, filing, paperwork, records, and general administrative support

Maintain organized records, receipts, household inventories, and digital files

Sort through papers, household items, supplies, and family materials to determine what should be kept, discarded, filed, donated, or organized

Create and maintain spreadsheets for vendor services, household expenses, payments, repairs, follow-ups, service dates, and recurring household needs

Track household vendors, appointments, maintenance schedules, deliveries, repairs, and service providers

Coordinate appointments, vendors, activities, travel, deliveries, and family scheduling

Assist with calendar management and scheduling for family, household, school, sports, travel, and vendor needs

Prioritize and manage multiple competing tasks in a fast-moving household

Communicate professionally with vendors, schools, coaches, contractors, household staff, and service providers

Respond promptly during working hours

Coordinate with contractors, landscapers, repair professionals, delivery teams, and household vendors

Follow up with vendors and service providers to ensure tasks are completed properly and to the household’s quality standards

Assist with errands, returns, online ordering, shopping, household pickups, and general family support

Help keep the home organized, guest-ready, and presentable

Move between the main residence and the second family residence as needed

Provide patient, respectful support related to elderly family members in the second home

Assist with event preparation, household setup, and general hosting support when needed

Assist with sports-related logistics, including loading and unloading coolers, supplies, and equipment from vehicles as needed

Walk longer distances at sporting events while assisting with supplies or sporting equipment as needed

Work collaboratively with the nanny, full-time housekeeper/laundress, and any additional household staff

Anticipate household needs and proactively solve problems without requiring constant instruction

Maintain strict confidentiality and discretion at all times

Confidentiality is of the highest priority in this household. The candidate must maintain strict confidentiality regarding all family, business, financial, legal, personal, household, and scheduling matters.

Household information, family schedules, photos, conversations, personal details, business matters, and private family information may not be shared with third parties at any time.

Requirements
Prior experience as a Family Assistant, Household Assistant, Household Manager, Personal Assistant, or similar private service role

Strong organizational and administrative skills

Strong written and verbal communication skills

Computer savvy with the ability to create and maintain spreadsheets

Comfortable using email, shared calendars, spreadsheets, scanning systems, cloud storage, TeamSnap, online ordering platforms, and return systems

Excellent attention to detail

Ability to prioritize and manage multiple competing tasks

Ability to anticipate needs and proactively solve problems

Professional, discreet, honest, and trustworthy

Positive attitude, emotional maturity, reliability, and professionalism at all times

Comfortable working in a busy private household

Kind and respectful toward children, elderly family members, guests, vendors, and staff

Comfortable adapting to changing family schedules and household needs

Available for occasional evening or weekend support with advance notice

Valid driver’s license and clean driving record

Comfortable transporting children if needed

Must maintain safe driving practices at all times

Comfortable driving between two nearby residences and handling errands as needed

Willing to complete a background check and provide references

Willing to complete a drug test

Authorized to work in the United States

Bilingual or proficient in Spanish is preferred but not required

Physical Requirements
Ability to lift packages, organize supplies, move light household items, and stand or walk for extended periods of time

Ability to walk longer distances at sporting events while assisting with sporting equipment, supplies, or family needs

Ability to load and unload coolers, bags, supplies, and equipment from vehicles as needed

Household Details
