Full Job Description

Position Summary

BSBC is seeking a dedicated, trustworthy, and detail-oriented Office Assistant/Financial Secretary to oversee the financial recordkeeping and day-to-day accounting functions of our church. This

individual will maintain financial records, process contributions and expenses, prepare

reports, and support the church’s mission through faithful stewardship of God’s resources.

· Welcome our members, guests and vendors by answering the phone, greeting and

assisting with their needs as they arise.

· Prepare visitor letters as needed.

· Schedule and coordinate our money counter volunteer teams and prepare for

processing our receipts each Monday (unless there is a holiday, then the count defaults

to Tuesday). Update schedule in Realm to notify volunteers of their serving times.

· Process our weekly receipts (Cash deposited at bank), Checks are sent by

Remote deposit capture.

· Post gifts to members giving records. Copy of Deposit total given to Senior Pastor.

Online gifts are posted automatically, reconciled, and included in weekly deposit.

· Bank reconciliations are reconciled “frequently” to verify that the accounts are secure.

· Maintain employee records. Prepare Salaried Payroll for direct deposit; initiate the

deposit in a timely manner. Prepare Weekly Payroll for hourly employee checks. Prepare Monthly Payroll for Childcare Workers checks. Update retirement plans as needed and forward monthly payments.

· Process Monthly payroll taxes, quarterly 941’s and Yearend W-2’s, W-3 and 1099’s. Closeout the End of the year.

· Balance monthly financial reports. Distribute monthly report to the Stewardship Committee and to the Senior pastor for approval. Mail a copy of the monthly financial report to our bank to keep them informed of our financial health for future Building projects. Print copies of the financial report for our Family Meeting every two months. (Jan, Mar, May, Jul, Sep, Nov).

· Prepare Meeting minutes and print for the Family meeting every two months.

· Enter invoices and make payments to Vendors. Prepare Tax exemption letters as needed for exempt purchases. Make payments to our credit cards (Pastors-Senior/Worship/Youth and Secretary VISA credit cards. Make payments to Sam’s Club credit cards.

· Maintain our Realm church program. Reconcile members’ giving statements. Email quarterly giving statements as a courtesy for our members. Mail and email a copy of annual giving statements.

· Send background checks to staff and members serving as they come up for renewal. Full background check invitations are sent the first year and National Sex Offender registry on the off years. Then repeat every year after.

· Prepare prayer lists for Pastors weekly or as needed. Notify the Deacons as their families have needs. Maintain their Deacon family roster within Realm. Order and send plants or fresh arrangements for illness, injury, hospitalizations or funeral services.

· Record weekly attendance for Sunday school, rehab services, etc. on a weekly basis or

when events occur.

· Promotion of Sunday school rosters annually. Update attendance book. Update

attendance sheets monthly for recording Sunday school attendance

· Order office and church supplies as needed.

· Prepare the weekly worship folder. Upload to the website. Email the upcoming worship

folder to Members on Thursday.

· Prepare the weekly announcements PowerPoint slides.

· File ACP-Annual Church profile to SBC.

· File the Annual report with the state of Kansas every two years. Last filed 2026.

· Prepare the Budget request information through the Budget spreadsheet. Finalize the

budget with the Stewardship committee and prepare Annual proposed budget.

· Enter the new Budget for coming year.

· Support the Pastors as needed.

· Work with Vendors for Fire Department requirements.

· Send out emergency text/email notification for inclement weather.

Qualifications

· Personal integrity and commitment to maintaining confidentiality.

· Agreement with and respect for the mission, values, and beliefs of a Southern Baptist

Church.

· Experience in bookkeeping, accounting, finance, or related administrative work

preferred.

· Proficiency with accounting software, spreadsheets, and general office applications.

· Strong organizational, communication, and time-management skills.

· Ability to work independently and accurately with attention to detail.

· High school diploma required; associate’s or bachelor’s degree preferred.

Desired Skills

· Basic knowledge of accounting practices.

· Experience with church management and contribution tracking software.

· Familiarity with payroll processing and nonprofit financial procedures.

Pay: $20.67 - $22.11 per hour
