Job Summary

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and proficient in office management, with a passion for creating a welcoming environment. You will serve as the first point of contact for visitors and clients, manage communication channels, and support various administrative functions to keep our office running efficiently. This paid position offers an excellent opportunity to develop your skills in a fast-paced, supportive environment.

Responsibilities

Greet visitors warmly and professionally, providing excellent customer service and ensuring a positive first impression
Manage multi-line phone systems, screen calls, and direct inquiries to appropriate team members using proper phone etiquette
Handle data entry tasks accurately using productivity software such as Microsoft Office, Google Workspace, and spreadsheets
Maintain organized filing systems, including digital and physical documents, ensuring easy retrieval and confidentiality
Assist with calendar management and scheduling appointments for staff or medical/dental professionals as needed
Support office management tasks such as ordering supplies, managing inventory, and coordinating maintenance requests
Perform clerical duties including proofreading documents, preparing correspondence, and managing client communication efficiently

Experience

Prior office experience or administrative support roles demonstrating strong organizational skills and multitasking abilities
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with QuickBooks or bookkeeping is a plus but not required
Familiarity with multi-line phone systems and front desk operations in medical or dental settings is advantageous
Bilingual abilities are highly valued to assist diverse client needs
Demonstrated computer literacy with technical proficiency in data entry, file management, and document processing
Strong customer service skills with the ability to communicate clearly via phone and in person while maintaining professionalism
