About High Desert Healing

High Desert Healing is dedicated to providing compassionate, client-centered care in a welcoming and professional environment. Our practice integrates holistic wellness approaches with high-quality mental health services to support our clients' healing journeys. We are seeking a Front Desk Administrator who will play a key role in creating a positive experience for our clients and supporting the administrative operations of our practice.

About the Role

As the Front Desk Associate, you will be the first point of contact for clients and visitors, ensuring a warm and professional welcome. This role is responsible for managing client check-ins, scheduling appointments, handling inquiries, verifying insurance eligibility, and supporting administrative functions to ensure a smooth experience for both clients and providers.

Required Schedule

Tuesday, Wednesday, Thursday from 10am to 6pm
Additional Monday & Friday hours are available.

What You'll Do

Greet and check in clients with professionalism and care.
Schedule and confirm appointments, ensuring smooth coordination between clients and clinicians.
Answer phone calls, respond to emails, and assist clients with inquiries.
Verify insurance eligibility and benefits, assisting clients with coverage questions.
Assist with billing processes, including copay collection and claim review.
Ensure compliance with HIPAA regulations and maintain client confidentiality.
Support intake processes by collecting necessary documentation.
Handle client concerns professionally, escalating issues when needed.
Maintain office organization, ensuring a clean and efficient workspace.
Communicate clinic policies and assist clients and staff with policy-related inquiries.
Assist with administrative tasks such as filing, stocking supplies, and troubleshooting scheduling conflicts.

What We're Looking For

Education & Experience

High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
Experience in healthcare, mental health, or medical office settings is preferred.
Familiarity with medical billing, insurance verification, and HIPAA compliance is a plus.
Proficiency in office software, scheduling tools, and electronic health records (EHR).
Strong customer service and communication skills.

Skills & Knowledge

Excellent communication and active listening skills.
Strong multitasking and time management abilities in a fast-paced environment.
Customer service-oriented approach with a compassionate, professional demeanor.
Ability to problem-solve scheduling conflicts and administrative challenges.
Knowledge of insurance and billing basics, HIPAA compliance, and office workflows.
Experience with scheduling, record-keeping, and policy enforcement in a clinical setting.
