Job Overview

We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and professional demeanor will ensure smooth office management and support daily administrative functions. This paid position offers an exciting opportunity to develop your clerical and office management expertise while contributing to a positive and efficient workplace environment.

Responsibilities

Greet visitors warmly, ensuring a positive first impression for all who walk through the door
Answer, screen, and direct incoming calls using multi-line phone systems with professionalism and courtesy
Manage appointment scheduling, calendar management, and coordinate meetings for staff or clients
Handle data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software
Assist with clerical tasks such as proofreading documents, managing correspondence, and organizing office supplies
Support office management activities including bookkeeping, invoicing, and basic QuickBooks entries
Provide customer support by addressing inquiries promptly and professionally in person or via phone/email

Experience

Previous office experience or administrative support role preferred, especially in reception or clerical positions
Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools
Experience with multi-line phone systems and phone etiquette essential for managing high call volumes effectively
Bilingual ability is a plus to serve diverse client needs more effectively
Knowledge of medical or dental receptionist duties is advantageous but not required
Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Familiarity with office management software such as QuickBooks or bookkeeping experience is desirable
