Job Description – Assistant to the President / CEO

Job Summary

We are a high-end residential interior renovation / construction firm seeking the ideal candidate to fill an on-site Full Time position as the Assistant to the President/CEO. To perform this role successfully, you must possess proficient knowledge, experience and detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have experience as an Executive / Personal Assistant in the residential construction and interior renovation industry. Management of the President/CEO's emails, calendars and text messages are the pivotal daily priorities for this role. The candidate must have exceptional professional writing and verbal skills. Candidate must have mastery in Microsoft Outlook email, Outlook calendar management and One Drive. Candidate must have knowledge and experience on converting emails and documents into PDF's. Basic bookkeeping experience is also required.

Skills/Qualifications:

Email Management

Calendar Management, including organizing meetings and creating invites for same

Conversion of emails and documents to PDF's via Adobe

Scanning, naming and filing documents to President's personal electronic storage (One Drive)

Scheduling and facilitating audio / video conferences via various preferred platforms (Zoom; Teams; JoinMe, etc.)

· Must be able to proficiently operate a computer – Proficient in MS Office programs, internet research, etc.

· Professional level verbal and written communication skills. This includes being able to efficiently and courteously converse with anyone we work with and being able to write professional emails/correspondence.

· Time Management Skills: must be an organized individual able to self-supervise and multitask in an often fast-paced environment.

· Proven experience in residential construction and interior renovation.

· Candidate is expected to be flexible and resourceful.

· Must be able to take orders and follow instructions.

· Must have a valid driver’s license.

Job Description:

· Conserves President's time by reading all emails and text messages and immediately responding to acknowledge receipt; Composing subsequent responses based on verbal and or written dictation from the President / CEO; researching, and routing correspondence; drafting emails, letters, and documents; collecting and analyzing information; initiating telecommunications.

· Maintains the President’s appointment schedule by planning, preparing for, and scheduling meetings, conferences, teleconferences, etc.

· Business:

Communicates with our high-end clientele, vendors, subcontractors, as well as other employees in the company by answering or directing inquiries.

· Maintains clients' confidence and protects operations with the ability to handle confidential and sensitive information with discretion and by adhering to security policies.

· Provides historical reference by developing procedures for retention, protection, retrieval, transfer, and disposal of records; recording meetings.

Personal:

Communicates (written and verbal), addresses and processes matters, items and accounts of a personal nature on behalf of the President/CEO

· Handles basic bookkeeping and reconciliation tasks relative to the President's personal finances (Bank Accounts; Credit Card Accounts)

· Provides general administrative support.

Someone with a 9 - 5 mindset need not apply since some days may run longer than others depending on tasks being performed. Hours are as the day’s workload demands.
