Full Job Description

We are seeking a highly organized and patient-focused individual to join our team as a Front Desk/Scheduler at our Outpatient Gastroenterology Clinic. The ideal candidate will play a crucial role in providing exceptional patient service, managing front desk operations, scheduling and coordinating appointments efficiently.

Responsibilities:

Patient Interaction:

Greet patients warmly and ensure a positive first impression.
Answer incoming calls and inquiries, providing accurate information or directing to the appropriate staff member.
Assist with patient check in.
Assist patients in completing necessary forms and documentation.

Appointment Scheduling:

Schedule patient appointments efficiently, considering clinic resources and physician availability.
Coordinate with medical staff to ensure optimal scheduling and minimize wait times.
Manage appointment cancellations and rescheduling, optimizing the appointment calendar.

Patient Registration:

Collect and verify patient information during check-in.
Ensure accurate entry of patient demographics and insurance details.
Verify patient identification and eligibility for services.

Insurance Verification:

Verify insurance information for scheduled appointments.
Assist patients in understanding insurance coverage and any associated costs.
Communicate with insurance providers to resolve any discrepancies or issues.
Knowledge relating to copays, deductibles and out-of-pocket costs.

Billing Support:

Collaborate with the billing department to address any billing-related inquiries.
Provide necessary documentation for insurance claims processing.
Collecting patient payments and calculating amounts due for the following day.

Office Maintenance:

Maintain a clean and organized front desk area.
Manage patient files and ensure confidentiality of sensitive information.
Manage office supplies and inform materials manager of low stock, ensuring availability for daily operations.

Communication Liaison:

Relay important information to patients, such as appointment reminders and clinic policies.
Coordinate communication between patients and medical staff as needed.
Handle patient inquiries and concerns professionally and with empathy.

Team Collaboration:

Collaborate with other staff to ensure seamless operations.
Communicate effectively with nurses, physicians, and billing staff.
Participate in staff meetings and training sessions as required.

Requirements:

Proven experience in a similar role, preferably in a medical setting.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Proficient in using scheduling software and electronic health records.
Knowledge of medical terminology and insurance processes.
Ability to work in a fast paced environment.
High attention to detail and accuracy.

Education:

High school diploma or equivalent required; additional education or certification in healthcare is a plus

Work Schedule:

This position follows an alternative work schedule of four (4) days per week, totaling 40 hours. Employees will work 10-hour shifts per day, beginning between 6:00 a.m. and 6:30 a.m. based on department needs and supervisor approval.
Employees will receive three (3) days off each week. The position does not require evening or weekend work. Occasional adjustments to the schedule may be made to meet operational or staffing needs.

Pay: $23.00 per hour
