Full Job Description

We are seeking to hire an experienced administrative specialist to provide ongoing support for the Alaska Land Management Radio (ALMR) Operations Management Office located in Anchorage, Alaska. This role is full-time with healthcare benefits, paid time off, and 401K. Wostmann is an Alaska-based information technology consulting firm serving commercial and government clients since 1984. We provide systems analysis and design, software engineering, technology integration, testing, project management and quality assurance, and related management consulting and client representation. We have provided experienced management and support for the ALMR Operations Office since inception. Primary Responsibilities:

Schedule meetings, reserve conference rooms, and set up telephone conference bridges, as necessary.
Prepare meeting agendas and applicable attachments, update the Issues & Risk Log, and prepare the outstanding Action Item List and post to the website. Send appropriate email notifications with other reports, documents, or presentations.
Provide reports, minutes, and meeting support for all scheduled, special meeting, and working groups.
Scribe and prepare meeting minutes and post to website.
Provide support for policies and procedures, plans, protocols, and other documents necessary for effective and efficient operations.
Maintain records to include correspondence, minutes, written or recorded actions.
Help develop, publish, and distribute quarterly newsletters.
Maintain all 130+ annual System membership agreements and a current list of points of contact for all member agencies on the System.
Secure renewal of all membership sharing agreements for all member agencies on the System.
Help write, edit, coordinate, and distribute policies, procedures, plans and protocols at the direction of the User Council and the Executive Council.
Manage and maintain all documents and records on the public website and the records and documents for the System.
Maintain currency of all System documentation (site books, agreements, MOUs, organizational structure, System description, CONOPs, SOPs, etc.).
Develop, maintain, and distribute subscriber and system operations guides.
Document, administer and maintain a training library of all training materials provided by member/stakeholders for cooperative use.
Post training materials on the ALMR website including but not limited to recorded presentations, documents, slides, video sessions, etc.

Qualifications:

Preferred B.S. or B.A. in business or technology field.
Minimum 5 years of experience performing administrative support in a professional office setting.
Experienced in technology projects and in researching and analyzing systems, products, and tools.
Analytical thinking and problem-solving; demonstrated problem-solving, relationship, communication, and coordination skills.
Experience defining and creating reports; ability to know how to pull, analyze and report data via queries and reporting tools.
Excellent oral and written communication skills; interpersonal and consultative skills; meeting facilitation skills.
Strong skills using the Microsoft suite of services including MS Publisher
Work well independently and in teams.
Demonstrated capacity and initiative in handling multiple assignments.
Results-oriented, flexible, and creative.
Eager to learn, self-starter, and able to support team beyond current skills.
Able to occasionally work flexible or non-standard work hours, when necessary.
Hands-on experience updating and managing WordPress websites or similar platforms.
Knowledge of military structure, functions, and processes is a plus.
