Full Job Description

Job Title: Administrative Assistant

Reports To: Advisor

Job Status: Full-time (35–40 hours/week) 1099 first 90 days, then W-2

Job Summary

The Administrative Assistant is responsible for providing excellent service, strong administrative support, and thorough follow-through, all with the purpose of delivering an exceptional client experience. This role is ideal for someone who genuinely loves paperwork, thrives on organization, and enjoys creating efficiency through detailed administrative work.

The Administrative Assistant ensures Sterling Edge Financial operates smoothly and professionally, allowing the advisor to focus on client relationships. The ideal candidate is warm, friendly, engaging, proactive, and comfortable taking initiative — including confidently picking up the phone to call clients or vendors. This person must be coachable, open to feedback, and able to work with autonomy.

Essential Duties and Responsibilities

Schedule and confirm client appointments via phone calls, text messages, and emails
Warm prospect outreach and scheduling
Welcome clients and guests in a friendly, professional, and engaging manner
Answer and direct incoming calls, emails, and visitors using a multi-line phone system
Prepare, process, and manage all account-related paperwork
Process client changes (address, phone, email, bank information)
Research and resolve client service issues as needed
Process and record all transactions on appropriate logs
Set up client files and obtain necessary information
Communicate follow-up items clearly and promptly with clients
Update and maintain the relationship management system
Manage electronic filing and data entry tasks
Interact with companies to request information and ensure timely completion
Work independently with strong autonomy and attention to detail

Periodic Duties and Responsibilities

Assist with additional projects as needed
Cross-train with other teams to provide backup support

Skills Required

Data entry and paperwork-heavy administrative functions
Confidentiality and sensitive information handling
Problem resolution
Microsoft Office Suite
CRM and financial databases

Abilities Required

Warm, friendly, and professional communication
Comfortable making outbound phone calls

Self-motivated with strong autonomy
Organizational and time-management skills
Ability to multitask in a fast-paced environment

Strong attention to detail

Education and Experience

Degree preferred, or equivalent experience
Customer service experience preferred

Securities offered through Registered Representatives of Cambridge Investment Research, Inc. a broker-dealer, member FINRA/SIPC. Advisory Services offered through Cambridge Investment Research Advisors, Inc a Registered Investment Advisor. Cambridge and Sterling Edge Financial are not affiliated.

Pay: $30,000.00 - $45,000.00 per year
