Supports the administration and optimization of team member health and wellness programs and the Human Capital Management (HCM) / Benefits Administration (UKG Pro / PlanSource) technology platforms. Collects, researches, interprets, and reports data. Uses data to recommend solutions. Ensures data integrity by troubleshooting system errors and performing data audits. Ensures seamless data flow for carrier integrations, accurate payroll deductions, and regulatory compliance (ACA, ERISA, HIPAA, IRS Section 125 Cafeteria Plans). Works closely with cross-functional teams and external vendors to ensure effective benefits delivery and continuous improvement.

Key Responsibilities
1. Responsible for day-to-day administration of benefits programs, including health, dental, vision, retirement, and other supplementary benefits.
2. Acts as first point of contact for general benefit and benefit system inquiries. Works cross functionally to resolve non-routine benefits issues acting as a liaison between vendors, HR, and team members.
3. Supports the annual open enrollment process including preparing communications, facilitating trainings, and completing new benefit and deduction set up, vendor updates, benefit administration system updates, and data audits.
4. Develops and/or maintains benefit documentation, including plan summaries, policies, and standard operating procedures to ensure accuracy and process consistency.
5. Maintains Benefits intranet site, mobile application, and benefits administration system with the most up to date benefits information, documents, and material.
6. Provides exceptional customer service and support to team members. Responds to inquiries in a timely manner and provides accurate information.
7. Supports the creation and delivery of benefits training sessions, new hire orientations, etc.
8. Supports and maintains the HCM / Benefits technology platform:
a. Completes system maintenance and updates.
b. Researches and resolves system issues escalating as needed.
c. Provides customer support and issue resolution
d. Ensures all electronic files are sent to vendors on time and with accurate data. Monitors weekly error reports from carriers interfacing with carrier and system contacts to resolve enrollment data issues.
e. Partners with payroll to ensure accuracy of benefit deductions, processing adjustments when necessary.
f. Monitors Benefit Administration system for API interface and work status event processing errors. Researches and makes appropriate updates to correct data.
g. Collects benefits related data from multiple sources, combines, compares, and evaluates data to create meaningful routine reports that provide data-based insights.
h. Performs ongoing ACA administration in HCM / Benefits Administration system.
9. Ensures compliance with ACA regulations, including eligibility determination, form creation, compliance testing, and government filings.
Minimum Qualifications (Educations & Experience)
• Bachelor’s degree or equivalent
• 3+ years of relevant experience or the knowledge, skills, and abilities to succeed in the role

Essential Knowledge, Skills, and Abilities
• Knowledge of health and welfare benefits programs and regulatory requirements for benefits administration (i.e., COBRA, Section 125 plans, FMLA, USERRA, HIPAA, 401(K), ERISA, and record keeping requirements)
• Experience working within HCM and benefits technology systems
• Solid communication skills with the ability to explain complex benefits information clearly to any audience including large group settings
• Ability to prepare clear, concise, and effective written communications
• Firm organizational, problem-solving, critical-thinking, and data review skills
• Proficiency in relevant technology (i.e., benefits management software, Microsoft Suite, HCM, etc.) and experience with Excel (i.e., lookups, pivot tables, formatting, filtering, formulas, etc.)
• Ability to adapt to changing regulations and business requirements
• Strong attention to detail with the ability to handle multiple priorities and deadlines simultaneously
• Ability to collect, interpret, and utilize data to make recommendations
• Ability to work independently or in a team environment
Preferred Knowledge, Skills, and Abilities
• Professional certifications related to benefits administration (e.g., CEBS, PHR, or SPHR)
• Experience with UKG Pro HCM and PlanSource Benefits Administration module
Physical Demands
• While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, keyboard, and occasionally lift up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, color vision and the ability to adjust focus.
Working Conditions & Travel Requirements
• Work may be performed remotely; in a climate-controlled office environment; or a combination of the two. For remote work, the employee must have a dedicated workspace to safely setup and use assigned IT equipment, preferably free from distractions. The employee is responsible for ensuring adequate internet service is available when working remotely (the recommended minimum speed is 20mb download and 5mb upload).
• The noise level of the environment is usually moderate.
• Occasional travel may be required. Valid Driver’s License required.
