Position Summary
Reporting directly to the Controller, the Human Resources & Accounting Assistant plays a key role in supporting the daily human resources and accounting operations of a mid-sized organization. Essential Duties and Responsibilities
The following is intended as a representative summary of the primary duties and responsibilities. Additional tasks may be assigned as needed.
- Organize, maintain, process, and update accurately all employee records and files.
- Process semi-monthly payroll for hourly and salaried employees, ensuring the accurate and timely entry of payroll changes, including new hires, terminations, pay adjustments, benefits deductions, and other payroll-related updates.
- Serve as a technical resource for employees to address and resolve inquiries and problems relating to payroll and benefit functions.
- Serve as the first point of contact for employee questions, concerns, and workplace issues. Escalating complex matters as appropriate to the Controller.
- Assist with the annual 401(k) audit by preparing required documentation, reconciling records, responding to auditor requests, and ensuring the accuracy of retirement plan data.
- Assist with the onboarding and offboarding of employees, including new hire orientation, completion of required documentation, system access, benefits enrollment, exit processes, and maintaining accurate employee records.
- Assist with the annual open enrollment process, including employee communications, benefit meetings, enrollment support, and resolving employee questions regarding benefit options.
- Coordinate and administer COBRA insurance, ensuring timely and accurate processing of information according to process.
- Assist with updating and maintaining the employee handbook to ensure policies and procedures remain accurate, compliant with applicable laws and regulations, and aligned with organizational practices.
- Prepare and file sales and use tax returns accurately and on time, ensuring compliance with applicable state, and local tax regulations.
- Provide support for general accounting functions and assist with special projects and other accounting-related duties as assigned.
- Assist with documenting and maintaining business processes and procedures related to the implementation and ongoing use of the new ERP system, ensuring accurate, up-to-date process documentation and user guidance.
- Assist with NetSuite system optimization, including data entry cleanup, workflow testing, and user support during our ongoing implementation.
- Preserve financial security and uphold confidentiality.
- Adhere to all company policies, including quality standards, safety procedures, and regulatory requirements.
Qualifications and Requirements
- Proficiency in Microsoft Office Suite
- Must have high level of discretion and ability to handle sensitive and confidential information appropriately

- Excellent communication skills and a team-oriented mindset
- Associate’s degree or equivalent experience
- Minimum of two years of relevant experience in human resources and payroll processing
Job Type: Full-time
Pay: $28.50 - $33.00 per hour
