Full Job Description

Olympus Arms, Inc DBA Lone Peak Precision is a growing manufacturing company committed to quality, precision, and operational excellence. We are seeking a detail-oriented and highly organized Office Manager & Bookkeeping Coordinator to support our financial, human resources, and administrative functions.

This position plays a critical role in maintaining accurate financial records, supporting payroll and compliance requirements, and managing employee documentation throughout the employment lifecycle.

Position Summary

The Office Manager & Bookkeeping Coordinator is responsible for bookkeeping, payroll administration, employee onboarding and offboarding, personnel file management, and various business filings and administrative tasks. The ideal candidate is dependable, organized, maintains confidentiality, and can effectively manage multiple priorities in a fast-paced manufacturing environment.

Key Responsibilities

Accounting & Bookkeeping

Maintain accurate financial records and bookkeeping systems.
Process accounts payable and accounts receivable.
Reconcile bank and credit card statements.
Assist with month-end and year-end financial reporting.
Prepare documentation for accountants, tax preparers, and auditors.
Track expenses and maintain financial records.

Payroll Administration

Process payroll accurately and on schedule.
Maintain employee payroll records.
Monitor timekeeping records and payroll adjustments.
Ensure compliance with payroll tax requirements and reporting deadlines.
Coordinate with payroll providers and benefit administrators as needed.
Coordinate bookkeeping activities using accounting software Xero ensuring accuracy in all financial transactions.
Knowledge of budgeting processes and financial software integration is preferred
Demonstrated ability to handle sensitive information with confidentiality and professionalism

Human Resources Administration

Coordinate employee onboarding, including new hire paperwork and orientation.
Manage employee offboarding and termination documentation.
Maintain confidential personnel files and employee records.
Ensure completion and retention of required employment documents.
Assist with benefits administration and employee communications.

Compliance & Business Filings

Prepare and submit required state, federal, and local business filings.
Maintain business licenses, permits, and registrations.
Support compliance with employment and recordkeeping requirements.
Organize and maintain company administrative records.

Administrative Support

Answer phone calls and respond to general inquiries.
Manage incoming and outgoing correspondence.
Assist leadership with administrative projects and reporting.
Maintain organized filing systems and company records.
Perform other administrative duties as assigned.

Qualifications

Associate's degree in accounting or business administration
4+ years of bookkeeping, payroll, office administration, or related experience preferred.
Experience with accounting software such as QuickBooks or similar systems.
Strong knowledge of Microsoft Office, including Excel and Word.
Excellent organizational and time management skills.
High attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive information.
Strong communication and problem-solving skills.
Manufacturing or industrial business experience is a plus.

Preferred Skills

Payroll processing experience.
Human resources administrative experience.
Familiarity with employment documentation and compliance requirements.
Experience working with accountants, tax professionals, or regulatory agencies.
