Full Job Description

This is not a traditional Executive Assistant role. We are seeking a high-level operator who thrives in a fast-paced environment, anticipates needs before they arise, creates order from complexity, and takes ownership of both professional and personal responsibilities with exceptional discretion and follow-through.

This individual will serve as the central integrator for the CEO's personal, household, and lifestyle operations, ensuring that priorities move forward seamlessly and that nothing falls through the cracks.

The Executive Personal Assistant & Household Operations Lead serves as the CEO's right hand, providing executive support while overseeing household operations, vendor relationships, travel logistics, personal projects, and day-to-day life management.

Success in this role means the CEO can confidently delegate responsibilities knowing they will be executed thoroughly, thoughtfully, and with minimal oversight.

This individual is expected to operate proactively, independently, and with a high level of judgment, serving as the single point of coordination across multiple areas of the CEO's life and household.

Executive Assistant Responsibilities (Primary Function)

Manage complex business and personal calendars, including prioritization of competing demands
Coordinate domestic and international business and personal travel, including itineraries, logistics, reservations, and last-minute changes
Manage email communications, priorities, and follow-up actions
Track action items, commitments, deadlines, and ongoing initiatives
Coordinate meetings, appointments, events, and special projects
Conduct research and present organized recommendations and solutions
Prepare summaries, briefing materials, and decision-support documents

Household Operations Leadership

Serve as the primary coordinator for all household operations
Manage and oversee relationships with household vendors and service providers, including:
Housekeeping services
Landscaping services
Private chef services
Maintenance and repair vendors
Delivery and installation providers
Coordinate household scheduling and recurring services
Oversee inventory management and household provisioning
Coordinate grocery orders, household supplies, and recurring purchases
Resolve household issues and maintenance matters proactively

Life Operations & Project Management

Manage personal initiatives and projects from planning through completion
Develop and maintain household systems, SOPs, trackers, and operational processes
Run weekly "Life Operations" meetings with the CEO to review priorities, upcoming events, travel, vendors, and open action items
Ensure follow-through and accountability across personal and household initiatives
Anticipate needs, identify potential issues, and implement solutions before they become problems

Nanny & Vendor Coordination

Serve as the operational coordinator for the family's nanny and household service providers
Coordinate schedules, logistics, communication, and household workflows
Support efficient household operations while maintaining clear role boundaries

Qualifications:

5+ years of experience as an Executive Assistant, Personal Assistant, Family Office Professional, Household Manager, Estate Manager, Lifestyle Manager, or similar role
Experience supporting a CEO, founder, entrepreneur, executive, or high-net-worth individual
Proven ability to manage multiple priorities simultaneously
Strong project management and organizational skills
Excellent verbal and written communication skills
Strong judgment and decision-making abilities
Ability to operate independently with minimal direction
High degree of discretion and professionalism
Strong vendor management and relationship-building skills
Ability to anticipate needs and proactively solve problems
Family office experience
Private household management experience
Luxury hospitality, concierge, or high-end service experience
Experience managing multiple vendors and household operations
Event planning and coordination experience
Experience supporting high-net-worth individuals or families
Ability to pass a Level 2 State and Federal Background Check
Willingness to execute a Confidentiality and Non-Disclosure Agreement (NDA)
Reliable transportation
Flexibility to support urgent matters when necessary
Ability to travel with the CEO and/or family as needed
Ability to work onsite in the Delray Beach/Boca Raton area

Starting Salary: $105,000 annually.

Pay: $100,000.00 - $107,000.00 per year
