The Finance Manager ensures the fiscal health and integrity of the organization, managing all financial operations and working with an external bookkeeper to ensure accurate financial records. This 20-hour per week role is critical in maintaining our PATH Intl. accreditation through meticulous record-keeping and transparent reporting of program-related costs. Key Responsibilities
Financial Operations & Accounting
- Manage all accounts payable (AP) and accounts receivable (AR) activity, including client invoicing, donor pledges, merchandise sales. Ensure all expenditures are appropriately approved.
- Manage payroll for instructors, barn staff, and administrative team, coordinating the process with a third-party payroll provider (Paychex).
- Serve as internal lead for financial management, reviewing all transactions and working closely with the external bookkeeper to ensure all financial activity is properly recorded and coded in the accounting system (currently Quickbooks).
- Manage restricted funds (e.g., restricted donations, grants or scholarship funds) to ensure compliance with donor restrictions.
- Ensure all bank, investment account and credit card reconciliations are complete and accurate on a monthly basis.
- Oversee the month-end and year-end closing processes working with the external bookkeeper, accountant, and tax preparer.
- Monitor cash flow and track expenses on an on-going basis.
- Work with the Executive Director to implement procedures to ensure appropriate internal controls over High Horses assets and financial activity.
Budgeting & Specialized Reporting
- Support the annual operating budget process in collaboration with the Executive Director.
- Track "cost per lesson" and horse maintenance expenses (feed, vet, farrier).
- Prepare monthly financial statements (P&L, Balance Sheet) for the Finance Committee of the Board of Directors.
- Prepare quarterly financial statements with cash flow projections and requested financial analysis for the Board of Directors.
- Provide department heads with a monthly budget to actual reports.
- Track and report on gift and grant expenditures to ensure compliance with donor intent.
- Assist in the financial portion of the PATH Intl. annual center accreditation report.
- Coordinate the annual 990 tax filing and external financial reviews or audits.
- Monitor insurance policies (General Liability, Equine Professional Liability).
- Ensure all State and Federal required reporting is complete and in compliance.
Qualifications
- Experience: 3–5 years in nonprofit accounting/finance.
- Knowledge: Deep understanding of GAAP and fund accounting (tracking restricted vs. unrestricted assets).
- Tools: Mastery of QuickBooks Online and spreadsheets. Familiarity with donor management software (Bloomerang), and electronic medical record invoicing software is preferred. Ability to learn a variety of software tools
- Passion: An appreciation for the horse-human bond and the mission of equine-assisted services.
- Ability to work independently and as a team.
Pay: $32,000.00 per year
