You will directly support Dr. Appasani who is a psychiatrist, startup founder, speaker, and advisor operating across multiple domains. Your job will be to hold the complexity so that nothing falls through the cracks, and so that the most valuable hours in the day are protected for the work only he can do.

THE OPPORTUNITY
This role starts at ~10 hours per week and is built to grow. As trust deepens and the operation grows, so will the hours, the scope, and the title. You'll work in close coordination with Andrea, his virtual EA in Argentina, with clearly defined lanes so both of you can operate at your best. The in-person nature of this role matters: presence, judgment, and discretion are core to what makes it work.
WHAT YOU'LL OWN
Clinical Practice Administration
- Assist with intake admin, scheduling coordination, and EHR upkeep
- Support HR operations as the practice grows including onboarding other clinicians (i.e. PMHNP, therapists, coaches)
- Track licensure, supervision logs, and compliance documentation
- Liaise with vendors.
- Assist with contract and invoice creation and follow-up
Medical Licensing & CME Management
- Maintain a master calendar of all license renewal deadlines including state medical boards, DEA, and any other active registrations with reminders well ahead of due dates
- Track CME requirements by license and specialty; maintain a running log of completed credits
- Research and surface relevant CME opportunities such as conferences, online courses, webinars that are aligned with renewal deadlines and clinical interests
- Organize and file CME certificates, renewal confirmations, and credentialing documents in a clean, retrievable system
- Liaise with hospital systems, insurance panels, and credentialing bodies during re-credentialing cycles
- Track board certification maintenance (MOC) requirements and deadlines as applicable
Neuromodulation & TMS Tech Training
One of the most distinctive opportunities in this role. You'll have the chance to train as a certified TMS technician using the AMPA device — gaining hands-on experience in a cutting-edge area of psychiatric care that is rare for someone at this career stage.
- Complete structured training to become a certified TMS technician on the AMPA neuromodulation device
- Administer TMS treatment sessions under physician supervision as part of active patient care
- Maintain treatment session logs, patient tracking, and device records
- Support data collection and outcomes tracking that may contribute to clinical research and publication
- Assist with literature reviews, protocol documentation, and manuscript preparation as research projects develop
- Grow into a central operational role within neuromodulation services as the program expands
Founding of Podcast
- Lead the operational founding of the podcast which will include building infrastructure, hosting platform, recording workflow, and publishing pipeline
- Own guest research, outreach, scheduling, and pre-interview prep materials
- Manage episode production coordination: show notes, publishing, and social clip handoff to Andrea & editing team
- Own the production calendar and keep every moving part on track
Content & Social Media
- Manage posting across Instagram, LinkedIn, and Substack on a consistent cadence
- Build and maintain an asset library and publishing calendar for all original content
- Support the content pipeline for clinical writing, podcast IP, and personal brand development
- Coordinate with Andrea on other relevant social channels as needed
Speaking, Media & PR
- Track, vet, and manage inbound speaking and media requests from initial inquiry through logistics, prep, and follow-up
- Proactively identify and pursue PR opportunities: media placements, press features, and thought leadership moments — owning the pipeline end to end
Personal & Life Admin
- SF-based errands, personal appointments, and logistical research
- Personal scheduling support and travel coordination as needed
- Treat personal health and wellbeing commitments such as appointments, routines, and non-negotiable personal time with the same rigor as professional obligations
Event & Retreat Coordination (Future)
- As the practice and personal brand grow, help coordinate in-person workshops, community events, and retreats
CROSS-PORTFOLIO COORDINATION & BANDWIDTH PROTECTION
The connective tissue of this role. Your job isn't just to execute tasks. It's to ensure the whole operation runs smoothly and that creative, strategic, and personal time is actively protected.
- Maintain a master view of all active commitments Track deadlines, deliverables, and open loops across every portfolio; surface what's coming before it becomes urgent
- Manage advisory board obligations end to end inclusive of meeting prep, materials, follow-through on commitments, and relationship touchpoints
- Build and own a weekly rhythm: a structured cadence for planning the week ahead, reviewing priorities, and doing a weekly close to capture loose ends and reset
- Design and maintain a portfolio dashboard: a single living view of all active projects and commitments, kept current and reviewed together on a regular cadence
- Develop and maintain a triage framework for inbound requests that develops into a clear, agreed-upon system for what gets a yes, what gets delegated, what gets deferred, and what gets a no
- Actively flag over-commitment and help protect blocks of time for writing, deep thinking, innovation, and rest
AI FLUENCY & INDUSTRY AWARENESS
- Maintain active, working fluency with Claude and other leading AI tools. Stay current with new capabilities and proactively identifying where they can reduce friction or unlock efficiency across the operation
- Build and refine AI-assisted workflows for research, drafting, scheduling, summarization, and content and teach others on the team how to use them
- Stay informed on developments across key industries: psychiatry and mental health innovation, neuromodulation and TMS, digital health and startup ecosystems, podcasting and media, and public thought leadership
- Surface relevant news, signals, and opportunities on a regular cadence
WHO YOU ARE
- Bachelor's degree required; psychology, communications, neuroscience, business operations, marketing, public relations or a related field is a strong plus
- Proactive to your core — you spot what needs doing before being asked, and you follow through without being chased
- Comfortable with ambiguity and energized by building systems from scratch rather than inheriting them
- A crisp, clear communicator in writing, in person, and across contexts that range from clinical to creative to operational
- SF-based and able to move fluidly between in-person presence and remote execution

COMPENSATION & HOURS
