Litigation Calendar Coordinator / Legal Assistant

About Us

Zimmerman Law P.C. is a growing plaintiff litigation law firm committed to providing exceptional legal representation while maintaining a collaborative, fast-paced, and professional work environment.

We are seeking an experienced Litigation Calendar Coordinator / Legal Assistant who understands that the court calendar is the backbone of a successful litigation practice.

IMPORTANT – PLEASE READ BEFORE APPLYING

Do not apply if you have not previously managed a New York litigation court calendar.

This is not an entry-level Legal Assistant position. We are looking for someone who can walk into this role and begin managing a busy litigation calendar with minimal training.

You must have experience:

Managing a law firm's litigation court calendar.
Preparing and completing court forms and conference orders, including Compliance Conference Orders (CCs), Preliminary Conference Orders (PCs), Final Compliance Conference Orders (FCPs), Stipulations of Adjournment, Notices of Appearance, and other litigation scheduling documents.
Scheduling and coordinating depositions (EBTs), IMEs, EUOs, 50-h Hearings, mediations, arbitrations, and court conferences.
Reviewing NYSCEF notifications, court correspondence, eCourts, and eTrack daily and accurately calendaring all deadlines and appearances.
Coordinating schedules with attorneys, clients, opposing counsel, court personnel, court reporters, interpreters, and medical providers.
Monitoring deadlines to ensure no court appearance, conference, filing deadline, deposition, or client appointment is ever missed.

The person in this role is expected to own the litigation calendar. You will eat, breathe, and sleep the court calendar. Your job is to ensure every deadline is calendared, every deposition is scheduled, every client is notified, every attorney is prepared, and every court appearance is properly coordinated.

If you have not previously managed a litigation calendar and cannot confidently perform these responsibilities on your first day, please do not apply.

Primary Responsibilities

Manage and maintain the firm's master litigation calendar.
Review all NYSCEF filings, court notices, eCourts, eTrack notifications, and correspondence daily.
Calendar all court deadlines, hearings, conferences, motion return dates, and appearances.
Prepare and complete Compliance Conference Orders (CCs), Preliminary Conference Orders (PCs), Final Compliance Conference Orders (FCPs), Stipulations of Adjournment, and other court documents related to scheduling and case management.
Schedule and coordinate depositions (EBTs), IMEs, EUOs, 50-h Hearings, mediations, arbitrations, client meetings, and court appearances.
Confirm all scheduled appearances and promptly resolve scheduling conflicts.
Communicate with clients to ensure they are fully informed of upcoming depositions, court appearances, IMEs, and other litigation events.
Coordinate scheduling with attorneys, opposing counsel, court personnel, court reporters, interpreters, and vendors.
Proactively monitor all upcoming deadlines and notify attorneys of approaching court dates and filing deadlines.
Perform electronic filings through NYSCEF, PACER, WebCivil, and other court filing systems.
Maintain organized electronic case files and document management.
Scan, upload, organize, and file legal documents.
Answer and route telephone calls professionally.
Process incoming and outgoing mail.
Perform other duties and responsibilities as assigned to support the attorneys, Practice Manager, and the overall needs of the firm.

Qualifications

Minimum of 3 years of experience managing a New York litigation court calendar is required.
Strong working knowledge of NYSCEF, eCourts, eTrack, and New York Supreme Court procedures.
Ability to independently manage a high-volume litigation calendar with exceptional accuracy.
Outstanding organizational and time management skills.
Strong written and verbal communication skills.
Ability to prioritize multiple deadlines in a fast-paced litigation environment.
Strong attention to detail and the ability to work independently.
Proficiency with Microsoft Office and legal case management software.
