Overview
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is essential in ensuring smooth administrative functions, maintaining a welcoming front desk, and supporting team productivity through effective management of office systems and processes. The ideal candidate will bring energy, excellent communication skills, and a proactive approach to streamline workflows, enhance customer service, and foster a positive workplace atmosphere. This paid position offers an exciting opportunity to make a meaningful impact within a collaborative team setting.

Duties

Oversee all front desk activities, including greeting visitors, managing multi-line phone systems, and providing exceptional customer support with professional phone etiquette.
Manage office supplies inventory, coordinate procurement, and ensure all office equipment is maintained and functioning efficiently.
Utilize software tools such as Microsoft Office, Google Workspace, QuickBooks, and data entry platforms to organize files, process transactions, and maintain accurate records.
Handle clerical tasks such as filing, proofreading documents, calendar management, scheduling appointments, and coordinating meetings for staff and executives.
Support bookkeeping activities including basic bookkeeping tasks and financial record keeping using QuickBooks or similar programs.
Assist with administrative projects such as preparing reports, managing correspondence, and supporting personal assistant duties as needed.
Maintain organized filing systems both digitally and physically while ensuring confidentiality of sensitive information.
Provide exceptional customer service by addressing inquiries promptly via phone or email while demonstrating professional office management and organizational skills.

Qualifications

Proven experience in office management or administrative roles with strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic computer literacy.
Experience with multi-line phone systems, front desk operations, clerical tasks, data entry, filing, proofreading, and calendar management.
Familiarity with QuickBooks for bookkeeping purposes is highly desirable.
Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
Excellent phone etiquette along with customer service skills to support clients and visitors professionally.
Previous experience in medical or dental receptionist roles or personal assistant positions is advantageous.
