Full Job Description

Full time, 6 month contract (with potential to extend)

Leave of Absence (LOA) & Accommodations Administration Responsibilities:

· Serve as the primary coordinator for leave administration activities, including intake, case tracking, documentation management, and employee communications.

· Conduct initial leave intake discussions with employees and provide guidance on the leave application process and required documentation.

· Manage ongoing coordination with leave vendors (e.g., Unum), including submission of employment information, tracking claim status, and monitoring outstanding documentation requirements.

· Track employee leave timelines and facilitate return-to-work planning discussions, including coordination of leave extensions and accommodation requests.

· Support accommodation cases by coordinating communications among employees, managers, HR Business Partners, and Legal partners.

· Maintain case files, document retention, status reports, and compliance-related records for leave and accommodation programs.

· Support preparation of employee-facing resources, FAQs, process documentation, and educational materials related to leave and accommodation programs.

Benefits Administration & Employee Support Responsibilities:

· Act as the first point of contact for employee benefits inquiries across North America, providing guidance and routing complex issues when required.

· Resolve employee benefit-related issues involving medical, pharmacy, retirement, and other benefit programs through coordination with internal and external vendors.

· Manage day-to-day vendor relationships, including coordination with benefits administration partners and carriers.

· Support benefits system administration activities, including content updates, enhancements, testing, and employee experience improvements.

· Assist with open enrollment planning and execution, including employee communications, educational materials, process testing, and readiness activities.

· Coordinate vendor meetings, track action items, and support implementation activities for new or enhanced benefit programs.

· Maintain benefits FAQs, HR portal content, self-service resources, and knowledge articles to improve employee access to information.

· Provide reporting, data collection, and administrative support for benefits benchmarking, audits, and vendor assessments.

Key Qualifications

Required Experience

· 3–5+ years of HR, Benefits, Leave of Absence, Accommodations, HR Operations, or Employee Services experience.

· Demonstrated experience administering leave programs, disability benefits (STD/LTD), accommodations, and employee support processes.

· Experience coordinating with external vendors, insurance carriers, benefits administrators, or third-party leave providers.

· Experience managing sensitive employee cases and maintaining confidential information.

Technical & Functional Skills

· Strong understanding of employee benefits administration, leave management, and HR processes.

· Ability to track multiple cases simultaneously while maintaining accuracy and compliance.

· Experience preparing employee communications, FAQs, process documentation, and support materials.

· Proficiency with HR systems, case management tools, Microsoft Office, and HR portals.

Communication & Interpersonal Skills

· Excellent written and verbal communication skills with the ability to explain complex processes in a clear, empathetic, and employee-friendly manner.

· Strong customer service mindset with a proven ability to support employees through sensitive and sometimes challenging situations.

· Ability to build effective working relationships with employees, people leaders, HRBPs, vendors, and legal partners.

Ideal Candidate Profile (Executive Summary)

A service-oriented HR professional with hands-on experience supporting benefits, leave, and accommodations programs. The ideal contractor is highly organized, comfortable managing complex employee cases and vendor interactions, and capable of independently owning administrative processes while providing an exceptional employee experience. This individual will reduce operational workload by serving as the primary coordinator for leave administration, accommodations support, benefits issue resolution, vendor follow-up, employee communications, and process documentation.

Pay: $50.00 - $65.00 per hour

Experience:
