Non Profit Event Planner Assistant

Location: Houston, TX (In-Person)

Full Time, $20-30 per hour depending on experience.

About the Role

We are seeking a full-time Non Profit Event Planner to provide direct support to the Executive Director of Jamie's Hope and the CEO of Greenberg Grant & Richards (GGR) and other affiliated business ventures.

This is a unique opportunity to work alongside two executives whose work spans nonprofit leadership, business operations, philanthropy, and entrepreneurship. The role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, and can confidently manage multiple priorities with professionalism and discretion.

The majority of your time will be dedicated to supporting the operations and initiatives of Jamie's Hope, including fundraising events, donor relations, administrative projects, and organizational initiatives. You will also provide executive support, assist with special projects across multiple businesses, and handle occasional personal responsibilities that help keep day-to-day operations running smoothly.

The ideal candidate is proactive, highly organized, detail-oriented, and takes pride in anticipating needs before they arise. Every day brings something different, making this an exciting opportunity to gain hands-on experience across executive operations, nonprofit management, event planning, and business administration while working closely with organizational leadership.

Key Responsibilities

Executive Support

Manage complex calendars, meetings, and appointments for two executives.
Coordinate domestic travel, itineraries, and logistics.
Draft, proofread, and manage professional correspondence.
Prepare reports, presentations, meeting materials, and other business documents.
Organize digital files, records, and administrative systems.
Track deadlines, priorities, and follow-up items to ensure timely completion.
Handle confidential information with professionalism and discretion.

Jamie's Hope Operations

· Provide day-to-day administrative support for nonprofit operations.

· Assist with the planning, coordination, and execution of Jamie's Hope fundraising events, including the annual Golf Tournament for a Cure, kickoff events, donor experiences, and other special events throughout the year.

· Coordinate communications with donors, sponsors, volunteers, vendors, and community partners.

· Assist with sponsorship fulfillment, auction procurement, event logistics, and volunteer coordination for fundraising events.

· Prepare materials for board meetings, committee meetings, and organizational presentations.

· Support donor stewardship efforts, including acknowledgments, follow-up communications, and relationship management.

· Assist with project management across multiple nonprofit initiatives and community programs.

· Help maintain organizational systems, databases, and operational processes.

· Provide administrative, marketing, and operational support for special initiatives as needed.

Business Operations

Provide administrative support across affiliated business ventures.
Conduct research and compile information for executive decision-making.
Coordinate meetings with clients, vendors, and partners.
Assist with operational projects and process improvements.
Support various business initiatives as assigned.

Personal Assistance

Coordinate personal appointments and scheduling.
Run occasional errands and assist with personal logistics.
Make reservations, purchase gifts, and coordinate miscellaneous requests.
Assist with household and personal administrative tasks when needed.

Qualifications

Bachelor's degree preferred, but equivalent professional experience will be considered.
2+ years of experience as an Executive Assistant, Personal Assistant, Administrative Assistant, Project Coordinator, or in a similar role preferred.
Exceptional organizational and time management skills.
Strong written and verbal communication abilities.
Excellent attention to detail and accuracy.
Ability to manage multiple priorities in a fast-paced environment.
Demonstrated ability to exercise sound judgment and maintain confidentiality.
Strong problem-solving skills and a proactive mindset.
Professional, polished, and dependable.
Ability to work independently while also collaborating effectively.
Valid driver's license and reliable transportation.

Preferred Skills

Experience with one or more of the following is a plus:

Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
Project management platforms (SmartSheet)
QuickBooks
Dropbox or cloud-based file management
Event planning or coordination
CRM or donor management software (Onecause)
Social media or marketing support
Nonprofit operations
