Clinical Assistant II for Specialty Services in Occupational & Physical Therapy (OT/PT)
Location : Medical Office Building, 3430 Burnet Ave., Cincinnati OH 45229
Schedule : Mon-Fri 8a-5:30p (40 hours/week, 1.0 FTE)
Pay : $20.57/hour starting pay, and can increase based on experience.
The Clinical Assistant II for Specialty Services provides administrative and care coordination support within specialty service lines. This role serves as a key liaison between providers/therapists/staff, patients, and multidisciplinary teams to facilitate timely access to care, support program coordination, and ensure efficient clinic operations.
Required Education & Experience:
High school diploma or equivalent required; associate degree preferred.
2+ years of previous experience in required. Healthcare, care coordination, or medical office operations experience preferred.
Strong organizational, communication, and multitasking skills.
Ability to work collaboratively in a fast-paced clinical environment.
Key Responsibilities
Care Coordination & Clinical Support
Serve as a physician liaison for priority referrals across inpatient (IP), outpatient (OP), and specialty programs.
Coordinate and track patient care needs, including Durable Medical Equipment (DME), orthotics review processes, FIT (Follow-Up Intervention Tracking) follow-up activities
Support timely communication between providers, patients, and external partners to ensure continuity of care.
Program Coordination
Assist with scheduling, coordination, and administrative support for specialty group programs (ex. Feeding groups, social skills groups, Thrive program):
Ensure accurate scheduling, appropriate resource allocation, and patient readiness for participation in specialty services.
Referral & Administrative Management
Manage referral workflows, ensuring accuracy, completeness, and timely processing.
Provide phone management support, including handling inbound and outbound calls, triaging requests, and responding to patient and provider inquiries.
Maintain documentation and tracking systems related to referrals and specialty program participation.
Front-End Scheduling Support
Perform on-site scheduling functions at Medical Office Building (MOB) checkout areas.
Assist patients with follow-up appointments and specialty service scheduling to support seamless transitions of care.
Additional Duties
Provide general administrative and operational support as assigned to maintain efficient clinic workflows.
Collaborate with interdisciplinary teams to improve processes and patient experience.
