Full Job Description

Reports To: Director of Finance

Status: Non-Exempt Hours: Full-Time

SUMMARY: Performs administrative support to the fiscal team. Acts as the purchaser of goods for the agency. Assist with the daily operation of the agency.

QUALIFICATIONS: Computer skills required to include word processing, email, graphic and presentation development, and data management; demonstrates ability to express ideas clearly in both written and verbal communications; excellent organizational skills.

EDUCATION: 2-year degree required or equivalent experience.

RESPONSIBILITIES & DUTIES include the following. Other job-related duties may be assigned.

The responsibilities and duties listed below are representative of the essential functions of this position. This list is not intended to be all-inclusive, and other job-related duties may be assigned as needed.

Monitor office supply inventory and coordinate the purchase and replenishment of supplies as needed.
Assist in the development, maintenance, and revision of departmental policies, procedures, and procedural manuals.
Research, evaluate, and negotiate with vendors to obtain the best value while ensuring goods and services meet organizational specifications and procurement requirements.
Coordinate and assist with travel arrangements, including airfare, lodging, conference registrations, rental vehicles, and other travel-related accommodations, ensuring compliance with organizational policies and procedures.
Verify all new vendors through the System for Award Management (SAM) and applicable federal excluded or debarred vendor lists; conduct annual vendor compliance reviews.
Prepare, process, and maintain purchase requisitions and purchase orders, ensuring proper account coding and required approvals.
Place orders with approved vendors and monitor order status through receipt and completion.
Verify deliveries by matching packing slips to purchase orders and investigate and resolve discrepancies with vendors.
Communicate purchasing and delivery updates to requesting departments and provide timely resolution of procurement issues.
Assist in the preparation of annual cost analyses and evaluations of preferred vendors.
Submit completed packing slips and supporting documentation to the Fiscal Specialist for invoice processing and payment.
Develop and maintain positive working relationships with vendors, suppliers, and internal departments to ensure quality customer service.
Organize, maintain, and distribute procurement, purchasing, and contract documentation in accordance with organizational policies, grant requirements, and record retention standards.
Assist with the administration and monitoring of vendor contracts to ensure compliance with contract terms and organizational policies.
Serve as backup support to the Reimbursement Department by reviewing and processing monthly provider reimbursement payments in accordance with established procedures and deadlines.
Maintain, update, and reconcile inventory records and fixed asset logs; assist with periodic physical inventory counts and asset tracking.
Maintain organized electronic and paper filing systems to ensure accurate recordkeeping and document retrieval.
Draft correspondence, reports, memoranda, and other administrative documents as requested.
Assist with special projects, audits, and fiscal administrative functions as assigned.
Maintain the confidentiality of financial, vendor, employee, and organizational information in accordance with applicable laws, regulations, and Coalition policies.
Provide courteous, professional customer service to internal staff, vendors, providers, and external stakeholders.

PHYSICAL DEMANDS: Ability to lift 25 pounds, sitting/standing for prolonged periods of time, valid driver’s license with reliable transportation.

Pay: $42,640.00 per year
