Important: Please Read Before Applying
This is not a mindless, robotic data-entry role, and it is definitely not a basic cashier job.
We are looking for an adaptive, sharp, and highly driven Office Administrator & Inside Sales Coordinator who brings both brains and hustle to the table. This role sits right at the intersection of office logistics, account bookkeeping, and proactive sales growth. You need to be someone who loves solving puzzles, keeps a cool head when multiple tasks are flying around, and possesses the professional confidence to negotiate with clients, call inbound leads, and handle company financials.
While this is an administrative desk role, we operate as a tight-knit, fast-moving small business. You must be someone who isn't afraid to get your hands dirty. If a heavy shipment arrives or the afternoon fulfillment team needs an extra set of hands to get orders out the door, you are the type of person who seamlessly jumps in to help without waiting to be asked.
Please only apply if you are a proactive communicator, a natural problem solver, and someone who takes genuine ownership of their workspace and targets.

- Drive Revenue Proactively: Actively dial inbound leads, build rapport, map out custom quotes, and close deals without hesitation.
- Manage Office Logistics: Run a tight ship regarding mail, office supplies, and internal communication systems.
- Handle Basic Financials Securely: Demonstrate absolute integrity while printing vendor checks, processing incoming payments, and tracking invoices.
- Thrive in the Gray Area: If an order, invoice, or sales lead is stalled, you hunt down the solution rather than letting it sit.
- Execute the Handoff: Prepare a pristine, highly organized task checklist for the afternoon runner before you step out.
Main ResponsibilitiesInside Sales & Quote Management
- Lead Follow-Up: Actively call incoming inquiries and leads from our website, emails, and CRM system. Introduce our custom uniform, patch, and gear packages.

- Pipeline Tracking: Keep our CRM updated with meticulous notes so no sales opportunity falls through the cracks.
Financial Assistance & Check Handling
- Check Processing & Verification: Securely accept, log, and batch incoming customer and corporate checks for account reconciliation.
- Check Printing & Accounts Payable: Assist management with routine accounts payable tasks, including verification of vendor invoices and utilizing software to accurately print outgoing business checks.
- Invoice Tracking: Review pending statements, flag past-due customer balances, and execute courteous collections/follow-up calls to ensure timely payment.
Office Administration & Mail Management
- Mail Operations: Sort and process all incoming daily mail and courier packages. Securely route sensitive business documents, invoices, and notices to management.
- Shipping Preparation: Generate accurate postage, packing slips, and documentation for outgoing administrative mail or critical corporate correspondence.
- Office Maintenance: Monitor, inventory, and order essential front-office and computer stationery supplies to prevent workflow shortages.
Front-of-House & Client Relations

- Answer phone calls, identify exact customer needs, and take clear, actionable notes.
- Guide clients through uniform selections, custom patch options, badges, and duty gear.
Team Hustle & The Daily Handoff
- Cross-Functional Support: When front-counter traffic is low, assist with inspecting incoming product quality, organizing store shelves, or prepping inventory.
- Before leaving at 2:00 PM, compile a clean, bulletproof handoff list for the afternoon fulfillment runner (highlighting expected customer pickups, completed deposits, and urgent pending tasks).
Required Qualifications
- Able to work in-person Monday–Friday, 9:00 AM–2:00 PM in Corona, CA.
- Reliable transportation and an exceptional track record for punctuality.
- Fearless Phone Presence: Highly comfortable making cold/warm outbound calls to leads, negotiating with buyers, and following up on quotes.
- Computer fluent (comfortable navigating Google Workspace, Google Sheets, QuickBooks, or basic accounting/CRM/ERP platforms).
- High Trustworthiness: Proven comfort and high integrity regarding handling cash, checks, and sensitive financial documentation.
- An adaptive, collaborative attitude; a true team player who values collective success over "that's not my job."
