Full Job Description

Overview

The church’s Parish Administrator is the primary contact in the office of The Episcopal Church of the Redeemer. The Parish Administrator works closely with the Rector, Senior Warden, Vestry, Treasurer and various guild leaders. The Parish Administrator provides essential administrative, financial, and communication support to ensure the smooth operation of the parish. This role requires strong organizational skills, attention to detail, ability to work independently, and the ability to manage multiple tasks efficiently. The Parish Administrator serves as the key point of contact for parishioners, staff and vendors; maintains financial records under the direction of the treasurer; prepares weekly and special order of service bulletins and newsletters; coordinates Church communications; and, works with the community at large to carry out the mission of Redeemer.

Primary Responsibilities

Office and Facilities Administration:

Order office, cleaning and maintenance supplies as needed

Prepare and print weekly bulletins for weekend services and special services to include funerals and weddings and other events

Provide weekly service participants with pertinent information and prepare the sanctuary and Parish Hall for worship services

Maintain and update historical church records, including the attendance books, parish register (online), registers for baptisms, weddings, deaths, confirmations, receptions and new members

Maintain and update church records with regard to pre-planned arrangements, Safeguarding, and other records required by the parish or the diocese

Assist visitors, parishioners, guests, vendors and individuals seeking assistance

Support the Rector, Senior Warden and Treasurer with various administrative and church-related business

Attend and participate in Vestry and staff meetings

Check mail, email, and voicemail daily, respond to inquiries and forward messages as necessary

Maintain records for all facility rentals and facilitate rentals as needed

Maintain building key access documents and manage building key access

Communications and Publications:

Send out digital newsletters each week, as well as other correspondence as needed

Update and maintain the parish website, Facebook page and Instagram page

Create flyers for bulletin boards and distribute information about upcoming events

Maintain church directory and publish an annual pictorial directory

Maintain a master church calendar and the Parish Hall bulletin board

Financials:

Prepare and process offering deposits including confirming deposits, taking to the bank and providing the treasurer necessary documentation

Maintain Accounts Payable files

Maintain PowerChurch (or authorized church database) records and prepare and distribute necessary documentation for donors.

Maintain donor confidentiality and handle sensitive financial and personal information with discretion

Maintain church records and work closely with the treasurer who maintains financial records

Annual and Periodic Reporting:

Maintain the Parish Register

Participate in the Annual Parochial report

Assist with the parish’s annual financial audit

Maintain required records for Vestry, LEMs, clergy and other key volunteers according to diocesan requirements

Other duties as assigned

This position requires in-person, regular office hours. This position requires a minimum high school diploma with additional experience in office administration, accounting, church database and communication software.
