Schedule:

Wednesday and Thursday – 4:00 PM to 12:30 AM
Friday – 2:00 PM to 10:30 PM
Saturday and Sunday – 0800 AM to 4:30 PM

Overview:

The Administrative Associate is responsible for supporting daily warehouse operations through inbound schedule coordination, outbound order processing, documentation management, internal and external communication, and accurate system and KPI reporting support. This role ensures there are no communications gaps in the operation, including internal and external clients. This includes inbound schedules that are properly communicated to support receiving readiness and confirms that printed outbound orders are processed and shipped as scheduled. The Administrative Associate is accountable for maintaining accurate system entries, timely KPI updates, organized records, and effective communication to support efficient warehouse operations. Success in this role demonstrated through actively responding to email communications both internal and external within one-hour, accurate scheduling support, reliable KPI reporting, effective communication, and consistent administrative execution that enables smooth operational flow.

Primary Duties and Responsibilities:

Inbound Schedule Coordination (Receiving Support) Maintain and communicate inbound schedules to receiving operations.

Verify inbound appointments and scheduled deliveries are visible to the receiving team.
Communicate missing or incomplete inbound information to appropriate parties when identified.
Support receiving readiness by ensuring inbound schedules are accurate and updated.

Outbound Order Processing (Shipping Support)

Print outbound orders and shipping documentation in accordance with shipping schedules.
Ensure printed orders are released to the team in a timely manner.
Monitor order status to confirm printed orders are processed or shipped as scheduled.
Communicate delays or unprocessed orders to the team, including leadership for follow-up.

System Transactions & Data Accuracy

Per form accurate data entry in the system and supporting systems as required.
Verify order and shipment information for accuracy prior to processing.
Maintain organized electronic and physical records. KPI Entry & Reporting
Accurately enter daily operational data into the Daily KPI/Metric Log, including receiving and shipping metrics as assigned.
Ensure KPI entries are completed timely and reflect operational results for the day.
Verify data accuracy prior to submission or reporting.
Support leadership with compiling operational performance reports. Communication & Coordination
Monitor and respond to internal and external communication in a timely and professional manner.
Respond to emails, messages, and operational communications within one (1) hour during working hours, unless, engaged in higher-priority operational tasks or meetings.
Communicate operational updates between administration and warehouse teams as needed.
Escalate discrepancies, delays, or missing information that may impact operations.

Daily Huddle Support

Provide administrative updates related to inbound schedules, outbound order status, and KPI reporting when requested.
Assist with tracking follow-up items or administrative action items.

Organization & Administrative Control

Maintain organized documentation and records.
Ensure paperwork and system records are accurate and accessible.
Support audit and documentation requirements.

Team Support & Cross-Functional Assistance

Support warehouse operations administratively when needed and as directed.
Assist operational teams during high-volume periods while maintaining primary administrative responsibilities.

Ownership & Performance Expectations

Maintain accuracy and timelines in inbound scheduling, KPI entry, and order processing.
Ensure administrative work supports uninterrupted receiving and shipping flow.
Maintain consistent and timely communication with internal teams and customers.
Maintain organized and accurate records.
