Finance & Insurance Coordinator (Accounts Receivable)

As our practice continues to grow, we're looking for a Finance & Insurance Coordinator who is passionate about organization, problem-solving, and helping families navigate the financial side of their dental care.

Position Summary

The Finance & Insurance Coordinator is responsible for the financial health of our practice by managing accounts receivable, insurance claims, insurance verification, patient estimates, collections, and financial reporting.

This role works closely with our leadership, front office, and clinical teams to ensure timely reimbursement, accurate patient accounts, and an exceptional financial experience for every family.

This position requires someone who is proactive, detail-oriented, accountable, and committed to seeing every account through from claim submission to final payment.

ResponsibilitiesAccounts Receivable & Insurance Management

Manage outstanding insurance claims and patient accounts receivable.
Review insurance and patient aging reports daily and prioritize follow-up.
Submit primary and secondary insurance claims accurately and promptly.
Prepare and submit corrected claims, claim appeals, and supporting documentation.
Investigate and resolve denied, delayed, unpaid, and underpaid claims.
Follow up with insurance companies until claims are fully resolved.
Review and accurately post Explanation of Benefits (EOBs), insurance payments, adjustments, and patient payments.
Monitor procedures with no claims submitted and resolve issues immediately.
Maintain detailed financial documentation within Curve Dental.
Ensure insurance aging and collections remain within established practice benchmarks.

Insurance Verification & Financial Coordination

Perform comprehensive insurance verification for new and existing patients.
Verify PPO benefits, deductibles, annual maximums, frequencies, waiting periods, downgrades, and plan limitations.
Maintain accurate insurance plans and fee schedules within Curve Dental.
Prepare accurate treatment estimates prior to patient appointments.
Clearly explain insurance benefits and patient financial responsibility to families.
Assist families with payment options and financial arrangements.
Ensure financial information is accurate before treatment begins.

Daily Administrative Responsibilities

Prepare routing slips for upcoming patient appointments.
Review provider schedules to ensure insurance information is accurate prior to appointments.
Reconcile patient accounts and resolve billing discrepancies.
Process refunds, adjustments, and account corrections.
Generate daily, weekly, and monthly accounts receivable reports.
Monitor production, collections, insurance aging, and outstanding balances.
Assist with month-end reporting and financial reconciliation.
Collaborate with the front office, providers, and leadership to improve financial systems and workflows.
Support additional administrative and financial projects as needed.

Accounts Receivable Performance Standards

The Finance & Insurance Coordinator plays a critical role in maintaining the financial health of Tiny Tooth Co. Success in this position requires strong follow-through, ownership, and accountability.

Performance expectations include:

Proactively manage accounts receivable to support healthy cash flow and collection goals.
Review aging reports daily and actively work claims over 30, 60, and 90 days.
Submit insurance claims promptly and accurately to minimize payment delays.
Resolve denied, delayed, underpaid, and unpaid claims through consistent insurance follow-up.
Monitor procedures without submitted claims and ensure timely claim submission.
Maintain complete, accurate, and organized documentation within Curve Dental.
Communicate effectively with insurance companies and families regarding account status.
Identify trends affecting collections and recommend workflow improvements.
Take ownership of every account from claim submission through final payment.
Consistently meet established accounts receivable, collections, and insurance aging benchmarks.

QualificationsRequired

Minimum 2 years of dental insurance, billing, or accounts receivable experience required.
Experience performing dental insurance verification.
Strong understanding of PPO dental insurance and out-of-network benefits.
Experience working insurance aging reports.
Experience with dental billing, collections, claim appeals, corrected claims, and resubmissions.
Ability to accurately interpret EOBs and insurance payment information.
Experience preparing routing slips and treatment estimates.
Experience with Curve Dental (preferred), Dentrix, Eaglesoft, or similar dental software.
Excellent attention to detail and organizational skills.
Strong written and verbal communication skills.
Ability to prioritize multiple tasks in a fast-paced environment.
Positive attitude, professionalism, and a strong work ethic.

Preferred

Pediatric dental experience.
Experience with patient financial coordination.
Knowledge of insurance fee schedules and contract analysis.
Experience improving office systems and workflows.
