Payroll and Benefits Specialist

Payroll and Benefits Specialist

Location: Remote (U.S.)

Full Time, Salaried, Exempt

Reports to: Director of Finance and Operations

The Role

As Payroll and Benefits Specialist, you will own payroll and benefits operations for Crane Stationery, ensuring employees across multiple states, union agreements, and remote locations are paid accurately and on time while administering a comprehensive health, wellness, and retirement benefits program. This role partners closely with the Director of Finance and Operations and hiring managers to support employees from onboarding through offboarding, and to build the infrastructure Crane needs as the team grows.

Key Responsibilities:

Payroll Administration

Process weekly payroll accurately and on time across multiple states, for salaried, hourly, and union employees, including remote workers
Administer payroll within ADP, including setup, maintenance, and troubleshooting
Calculate and process wage adjustments, deductions, garnishments, bonuses, and off-cycle payments
Ensure union payroll is processed in accordance with applicable collective bargaining agreements
Reconcile payroll data and partner with Finance on general ledger mapping and reporting

Benefits Administration

Lead annual open enrollment from start to finish, including vendor coordination, employee communications, and system configuration
Administer health and wellness benefits, including enrollments, changes, and terminations
Administer the 401(k) plan, including contributions, compliance testing coordination, and employee questions
Serve as the primary point of contact for employee benefits questions and escalations
Partner with brokers and carriers to resolve benefits issues and evaluate plan performance

Onboarding and Offboarding

Partner with hiring managers to onboard new employees, ensuring accurate and timely setup in payroll and benefits systems
Manage offboarding, including final pay, COBRA notifications, and benefits termination
Serve as a resource to employees and managers on payroll and benefits policies and procedures

Compliance and Recordkeeping

Ensure payroll and benefits practices comply with federal, state, and local regulations across all states of operation
Maintain current knowledge of wage and hour law, tax filing requirements, and benefits regulations, including ERISA, ACA, and COBRA
Prepare and file required payroll tax returns and year-end reporting, including W-2s
Support internal and external audits related to payroll and benefits

Process and Infrastructure Development

Establish leading practices, documentation, and controls for payroll and benefits operations
Identify and implement opportunities to streamline and automate payroll and benefits processes
Build scalable infrastructure to support Crane's growth, including expansion across states and remote locations
Work independently to manage competing priorities with minimal oversight

What You'll Bring

Required

5 to 7 years of progressive payroll and benefits administration experience
Hands-on experience processing multi-state payroll, including union and remote employees
Proficiency in ADP, including system setup, maintenance, and troubleshooting
Experience administering health and wellness benefits, open enrollment, and 401(k) plans
Working knowledge of federal, state, and local payroll compliance requirements, including FLSA and wage and hour law
Demonstrated ability to build processes and infrastructure from the ground up
Strong Excel skills and high attention to detail
Ability to work independently and manage competing priorities
Excellent judgment and discretion when handling confidential employee information

Preferred

Experience implementing or optimizing an HRIS or payroll platform
Experience with wage garnishments, workers' compensation audits, and unemployment claims
Background supporting a lean or growth-stage finance team

Compensation & Benefits

Base salary: $75,000 - $90,000
Your base salary is one part of your total compensation package. Exact compensation will depend on skills, level, years of experience, technical expertise, and other qualifications. This role is also eligible for Crane's benefit package, including:
