Full Job Description

Position Summary

The Administrative Assistant provides day-to-day administrative and operational support to our firm’s Intake Department while helping ensure projects, documents, and communications are organized and completed efficiently. This role is ideal for someone who is highly organized, detail-oriented, and comfortable managing multiple priorities, has good customer service skills , and can work in a fast-paced professional environment to assist tracking referrals for the firm.

Essential Duties & Responsibilities

Provide administrative support to department leadership and team members.
Manage calendars, meetings, and follow-up tasks as assigned.
Prepare, organize, and maintain documents, files, and reports.
Track outstanding referrals and follow up with client’s
Respond to emails and phone calls in a professional manner.
Maintain accurate records and data entry in company systems.
Assist with document collection, Case drops, Referrals, file organization, and quality control.
Coordinate projects and special assignments as needed.
Support process improvements and administrative initiatives.
Perform other administrative duties as assigned.

Qualifications

1–3 years of administrative, office support, customer service, or related experience.
Bilingual English/Spanish
Strong organizational and time-management skills.
Excellent written and verbal communication skills, ability to communicate effectively in person, by phone, and electronically.
Ability to prioritize tasks and work in a fast-paced environment.
Strong attention to detail and problem-solving abilities.
Tech Savvy, proficiency with Microsoft Office and ability to learn new processes and technology
Ability to work independently and collaboratively.

Preferred Qualifications

Prior experience working in a Law office is a plus but not required.
Experience supporting multiple team members or departments.
Experience with CRM or document management systems.

Pay: $22.00 - $25.00 per hour
