Full Job Description

Role & Responsibilities

Under the supervision and direction of the YFP Director, the Program Administrator plays a crucial role in supporting all GRYD administrative requirements. The range of responsibilities include organizing and monitoring confidential, fiscal, contract and personnel documentation to promote effective and efficient operation of GRYD programming. The Program Administrator shall provide essential administrative support to the YFP Director, ensuring smooth operations, coordination, and efficient execution of program activities. This role ensures that program goals are met efficiently and in alignment with organizational objectives, compliance requirements, and program expectations. The Program Administrator shall manage schedules, communications, documentation, budgets and assist with various tasks to facilitate program success.

ASSISTING THE DIRECTOR (70%):

Assist in the preparation of program documentation and related reports, correspondence, expenditures, budgets, billing, RFP and department budget tracking & monitoring;
Maintain contract and related filing and documentation systems.
Coordinate the acquisition of program and office supply ordering, inventory organization, tracking and monitoring.
Complete and track charge and/or check requests;
Assist in research and data collection for contracts and proposals as needed
Provide day-to-day administrative assistance to the Director.
Schedule meetings, prepare agendas, and take YFP meeting minutes.
Maintain program files and documentation, both physical and digital.
Assist in the preparation of reports and presentations for stakeholders.

YFP OPERATION ASSISTANCE (30%);

Serve as a liaison between program senior staff, program staff and external stakeholders.
Organize internal and external communications, ensuring timely responses.
Help in the coordination of program events, workshops, and meetings.
Collect and input data related to program performance, outcomes, and evaluations.
Assist in budget and monitor expenditures to ensure alignment with funding guidelines.
Support the Director in preparing performance reports and other documents.
Assist in special projects or tasks as assigned by program leads.
Supervise or support program staff, interns, or volunteers as needed.
Ensure compliance with organizational policies, grant requirements, and regulatory standards.
Prepare data analyses, progress reports, and presentations for leadership or funding agencies.
Manage communication between departments, vendors, and external stakeholders.
Coordinate meetings, events, and workshops related to program delivery.

Qualifications and Education Requirements

Minimum Two years of college education related to the field or equivalent work experience related to position.
Must be able to perform Word and Excel applications.

Preferred Skills

Knowledge in the layout of use of spreadsheet applications for budgets and cost calculation and allocation.
College-level writing and comprehension skills.

General Requirements and Knowledge, Skills, and Abilities (KSA's):

Permanent resident or U.S. Citizen; proof of work eligibility upon hiring.
Must have three (3) years of recovery or drug free lifestyle as of the date of the application.
Must provide proof of full vaccination and 1st Booster against Covid-19 upon hiring.
Ability to get along well with others, be punctual, pleasant, and tactful with professional appearance and conduct.
Ability to establish and maintain effective working relationships with supervisors, coworkers, clients and their families, community organizations, and the general public.
Ability to be culturally competent of age groups, gender identity, sexual orientation, spiritual beliefs, socioeconomic status, and diverse cultures.

Physical Requirements:

Moderate Duty

This class requires that the incumbent stand or walk most of the time with bending, stooping, squatting, twisting reaching, working or irregular surfaces, occasional lifting of objects over 25 pounds, and frequent lifting of 10-25 pounds. Ascending and descending ladders and staircase will be more frequent. An example is this position frequently will be moving and organizing agency supplies.
