Full Job Description

Position Overview

Blue Sky Homes is seeking a highly organized, proactive, and resourceful Marketing & Construction Administrative Assistant to support our growing team. This is a dynamic role for someone who enjoys wearing multiple hats and thrives in a fast-paced environment. You'll play a key role in supporting marketing, sales, construction operations, and office administration while helping bring luxury residential projects from concept to completion.

The ideal candidate is detail-oriented, tech-savvy, self-motivated, and passionate about real estate, design, construction, and marketing.

Key Responsibilities

Marketing & Sales Support

Manage and maintain company marketing materials, property flyers, renderings, maps, brochures, and presentations using Canva and other design software.
Manage social media platforms including Instagram, Facebook, Pinterest, and Nextdoor, including content creation, scheduling, and campaign coordination.
Maintain website content, listings, and community information.
Update and manage CRM records, customer inquiries, and sales leads.
Prepare sales presentations, proposals, reports, and marketing collateral.
Coordinate trade shows, events, groundbreaking ceremonies, tape walks, and promotional activities.
Conduct market, property, and industry research.
Coordinate with marketing agencies, printers, photographers, designers, and other vendors.

Construction Administration

Coordinate utility services for construction projects and rental properties, including electric, gas, water, sewer, internet, meter installations, account management, and service upgrades.
Assist with permits, licensing, inspections, and communication with city and county agencies.
Coordinate HOA requirements, notices, approvals, and project compliance.
Request, organize, and track subcontractor bids and project documentation within Buildertrend.
Manage construction files, change orders, invoices, warranties, project documentation, and permit records.
Coordinate jobsite logistics including temporary fencing, porta potties, signage, lockboxes, deliveries, Arizona 811 requests, and storage units.
Track finishes, material orders, damaged items, warranty claims, and inventory.
Assist with Phase 1 project coordination alongside architects and engineers.

Administrative & Office Support

Support daily office operations and executive administrative needs.
Manage calendars, meetings, conference calls, and team communications.
Respond to customer inquiries and provide exceptional client service.
Organize physical and digital filing systems.
Process invoices, expense reports, vendor communications, and payment tracking.
Coordinate office maintenance, supplies, deliveries, and package management.
Assist with onboarding, training coordination, and miscellaneous company projects.
Support property management, investor relations, and special projects as needed.

Qualifications

High school diploma required; Associate's or Bachelor's degree preferred.
2+ years of administrative experience, preferably within construction, real estate, marketing, or sales.
Strong organizational skills with the ability to manage multiple priorities simultaneously.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office Suite, Google Workspace, Canva, and CRM software (Salesforce, HubSpot, or similar).
Experience with Buildertrend, Adobe Creative Suite, or graphic design software is a plus.
Detail-oriented with strong problem-solving and time-management abilities.
Comfortable working independently while collaborating with multiple departments.
Passion for marketing, residential construction, real estate, and design.
