Position Overview
Under the general direction of the
Academic Advisor/Running Start Specialist, the
Program Coordinator Student Success Services performs a wide variety of tasks in support of the Student Advising and Success Services office including coordinating the Running Start Program, managing the Running Start Scholarships, and providing support to the Academic Advising team. The Program Coordinator will provide direct customer service to students, staff, and/or faculty, as well as communicate detailed program information about Running Start to internal and external stakeholders on an individual and group basis. This position will review and process applications, assist student workers as they review and process applications, and generate reports for a variety of stakeholders . Additionally, this position will monitor and triage departmental email inboxes and phones, as well as support other areas of Student Success Services, such as Student Accessibility Services, Admissions/Outreach and Enrollment Services, as needed.
As the Program Coordinator Student Success Services, it is expected that the following qualities will be demonstrated daily: a high degree of understanding and empathy for all students, faculty, staff, and visitors, as well as the ability to encourage the inclusion of all voices in decision-making, promoting equity in all areas, and actively working against institutionalized norms of oppression against historically marginalized people.

Supervising Position: Academic Advisor/Running Start Specialist
Essential Duties
Program Coordination:
Running Start:

Determine student eligibility for Running Start by applying knowledge of college and state policies.
-
File and maintain student records related to the programs.
-
Process and track incoming documents (Tuition Waiver forms, Transcript Evaluation forms, Running Start Application and Verification forms.)
-
Provide follow-up to students who do not have complete files.
-
Update and amend student records in CTCLink, Navigate360 and related databases.
-
Maintain the confidentiality of student records.
-
Update program databases, webpages and forms.
-
Perform administrative support duties within the programs.
-
Copy, fax and email documents; receive and process incoming forms.
-
Coordinate running Start program activities including: information sessions, scholarships for textbook for eligible student, etc.

Participate in ongoing training related to Running Start program duties
Running Start Scholarships:
-
Draft, revise, and send applications to qualifying students
- Implement a plan for awarding textbooks and/or other waivers to the qualifying students
- Organize invoices and receipts for auditing purposes before sending them to the foundation
- Coordinate with UBookstore to ensure students receive the textbooks
- Work with the Cascadia College Foundation to ensure distribution of funds/reimbursements
Academic Advising:

Review and triage departmental email inboxes including academic advising

Create and manage advising appointments in Navigate360
- Assign math, English and other subject placements based on college placement guide
- Assist with website update
Customer Support:
Running Start:

Understand and independently articulate general program eligibility requirements, the application process, status and timelines to students.

Serve as the primary contact to program participants and school district contacts.

Respond to telephone, electronic, and in-person inquiries about the programs.

Maintain timely correspondence with internal and external stakeholders.
Running Start Scholarship:

Understand and independently communicate the application process and timeline for dispersal of funds

Serve as the primary contact to qualifying students

Respond to telephone, electronic, and in-person inquiries about the program

Communicate with students who may be missing textbooks or have other questions

Maintain timely correspondence with internal and external stakeholders
Reporting:
Running Start:

Prepare and send monthly enrollment reports to both high schools and school districts
-
Prepare and send quarterly grade reports to high schools.

Prepare and send preliminary quarterly enrollment reports to high schools and school districts
-
Send quarterly billing report to Finance.

Revise reports as needed.
Running Start Scholarship:
-
Understand and independently communicate the application process and timeline for dispersal of funds
-
Prepare and provide a quarterly accounting report to the Cascadia College Foundation detailing how much was spent for textbook waivers/reimbursements
-
Other related duties as assigned
Education & Experience
Minimum Qualifications:
-
High school diploma or equivalent.
-
One year of experience in administrative support, customer service or equivalent.
-
Demonstrated commitment to diversity, equity and inclusion in an educational environment.

Proficiency with Microsoft software products: Outlook, Word, Excel.
-
Demonstrated commitment to and interest in diversity, equity and inclusion and the ability to support a multicultural workplace and educational environment.
Preferred Qualifications:

An Associates degree.

Experience coordinating programs for veterans, high school age individuals and/or other student services in higher education or equivalent.

Experience working in CTCLink or similar Student Information System.

Experience with Navigate360 or similar Student Success System.

Experience using Enrollment Manager, Tungsten or similar state or federal software.
-
Demonstrated strong detail and organizational skills with ability to effectively multi-task and prioritize.

Successful experience working with confidential information.
Knowledge of:

Terms of Employment
This is a full-time, twelve-month Classified position. This position works 40 hours per week, Monday through Friday; may include occasional evening responsibilities. This position works 40 hours per week, Monday - Friday; may include occasional evening responsibilities. The position is allocated to pay Range 41 under the Higher Education Salary Schedule. Initial base salary placement is $3,738.00 - $4,201.00 per month, with yearly step increases to the maximum salary of $4,980.00 (Step M) per month (not including the 5% King County Premium Pay). This is a represented position.
Cascadia College employees receive a 5% King County Premium Pay in addition to base salary for the 2026-2027 Fiscal Year.
This position has been designated as a bargaining unit position by the Washington Public Employees Association. Following a successful probationary/trial service period, employees attain permanent status.

Physical Work Environment
Semi-Sedentary Work: Involves staying in a stationary position to a significant degree. Jobs are sedentary if moving is required only occasionally and all other sedentary criteria are met.
The College is currently in hybrid operations, with many assignments completed in an online environment during this time. Full-time employees are expected to be on-campus at least three (3) days per week with the option to work remotely for the remainder of their working days. This position will perform work in a standard office setting, use standard office equipment and physically attend meetings both on and off campus and requires the ability to communicate in person or through appropriate means.
Positions in this class typically require operating a computer, communicating, observing, and repetitive motions.
This position involves exerting between 10-30 pounds of force occasionally and/or a negligible amount of force frequently to transport, put, install, remove, or otherwise move objects, with or without reasonable accommodation.
