Program Coordinator (Invoicing Operations)

Our client, a leading Pacific Northwest utility provider committed to public service and environmental stewardship, is seeking a Program Coordinator for their Vancouver, Washington location. In this role, you will provide operational and program support for procurement, invoicing, contract administration, and customer support functions. Responsibilities include coordinating program activities, maintaining documentation and compliance records, supporting invoice and procurement processes, and partnering with internal stakeholders to ensure efficient day-to-day operations and successful program execution.

Pay Range: $33.25 – 36.25/hr., DOE

Location: Vancouver, Washington – 100% ONSITE

Key Responsibilities for Program Coordinator:

Coordinate the day-to-day administration of a contingent workforce program, supporting requisitions, candidate onboarding/offboarding, assignment maintenance, time and expense processing, and system administration within a Vendor Management System (VMS).
Serve as the primary point of contact for managers, vendors, and internal stakeholders by providing guidance on procurement processes, program policies, system functionality, and customer support.
Support the full lifecycle of contract workforce administration, including onboarding, assignment changes, offboarding, compliance tracking, and required training coordination.
Maintain procurement records, documentation, reports, and program files while ensuring accuracy, confidentiality, and compliance with established policies and procedures.
Provide operational support for program leadership by coordinating meetings, preparing agendas, maintaining records, and assisting with special projects, process improvements, and training initiatives.
Review and coordinate vendor invoice processing by validating documentation, researching discrepancies, resolving invoice issues, and supporting timely approvals and payment processing.
Monitor shared inboxes, reports, dashboards, and workflow queues to identify exceptions, prioritize requests, and ensure timely resolution of stakeholder inquiries.
Deliver exceptional customer service by responding to questions from vendors, managers, and internal teams while troubleshooting system, invoicing, and procurement-related issues.
Prepare reports, maintain tracking tools, and support data analysis to improve operational performance, program effectiveness, and process compliance.
Identify opportunities to streamline workflows and improve operational efficiency through process documentation, training materials, and continuous improvement initiatives.

Requirements for Program Coordinator:

Associate's or Bachelor's degree in Business Administration, Business Management, Business Operations, or a related field preferred.
2+ years of relevant experience with an applicable bachelor's degree, 4+ years with an applicable associate's degree, or 6+ years of equivalent experience without a related degree.
Experience coordinating programs, projects, or business operations in a structured, process-driven environment.
2+ years of customer service or operational support experience with responsibility for managing complex processes, resolving issues, and supporting internal and external stakeholders.
Intermediate to advanced proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
Strong organizational, analytical, and problem-solving skills with the ability to manage multiple priorities while maintaining accuracy and attention to detail.
Ability to interpret policies, follow established procedures, and apply sound judgment in a fast-paced operational environment.

Preferred Qualifications

Experience working with a Vendor Management System (VMS), such as Fieldglass (buyer-side experience preferred).
Financial analysis, accounting, or procurement support experience.
Invoice review, validation, and processing experience.
Familiarity with SharePoint, Visio, Microsoft Project, or similar business applications.
