The City of Newark is now accepting applications for the position of Administrative Support Specialist II.
The Full-Time Administrative Support Specialist II provides a broad range of administrative and clerical support to the assigned department. Success in this role requires a commitment to excellent customer service, strong multitasking and organizational skills, effective communication, teamwork, initiative, and a proactive approach to problem-solving. Typical responsibilities include serving as the department receptionist, responding to public inquiries, scheduling meetings, preparing correspondence and reports, maintaining records, processing administrative and financial transactions, supporting commissions and committees, coordinating office operations, and assisting with special projects and City-wide events as assigned.
The City currently has three (3) vacancies:
- Information Technology / City Manager's Office Department
- Community Development Department
- Recreation and Community Services Department
In addition to these current vacancies, Administrative Support Specialist II positions are utilized throughout the City in various departments. Candidates interested in Administrative Support opportunities throughout the City are strongly encouraged to apply.
This recruitment will establish an eligibility list that may remain active for a period of six (6) months to two (2) years. The eligibility list may be used to fill current vacancies as well as future Administrative Support Specialist vacancies that occur in any City department during the life of the list.
- Possession of a high school diploma or equivalent, and two (2) years of general clerical or office assistant experience comparable to the Administrative Support Specialist I in the City of Newark.
Some positions may offer a 9/80 schedule and remote work.
IDEAL CANDIDATE
1. Information Technology / City Manager's Office Department
The ideal candidate for the IT/CMO Administrative Support Specialist II position is a highly organized, detail-oriented, and customer-service focused administrative professional who is comfortable supporting a fast-paced, technology-forward environment. This position will support two departments: Information Technology Department – 30 hours per week and the City Manager’s Office – 10 hours per week, so the successful candidate should be able to manage multiple priorities, track details accurately, and communicate professionally with staff, vendors, and the public.
The ideal candidate will be comfortable learning and using technology platforms, spreadsheets, and tracking tools and adept at interpreting and applying policies and procedures. Experience with purchasing, accounts payable, contract tracking, inventory management, and budget support would be especially helpful. A strong candidate will also demonstrate discretion, sound judgment, initiative, adaptability, and the ability to work independently while collaborating closely with both departments.
2. Community Development Department
The ideal candidate for the Community Development Administrative Support Specialist II position is highly organized, detail-oriented, customer service-focused, and able to work independently to perform a variety of office support duties. The ideal candidate can work directly with personnel within the organization to manage multiple priorities and complete tasks, including accounting tasks with the Finance Department. This candidate will be comfortable working directly with appointed officials, such as members of the city's Planning Commission and Community Development Advisory Committee.
3. Recreation and Community Services Department
The ideal candidate for the Recreation and Community Services Administrative Support Specialist II position is a highly organized, detail-oriented, and customer service-focused administrative professional who is comfortable supporting multiple program areas in a fast-paced environment. This position provides administrative support to the Human Services Division and the Public Art Program, requiring the ability to manage multiple priorities, coordinate competing deadlines, and maintain a high level of accuracy and professionalism.
The ideal candidate will be comfortable serving as the first point of contact for community members, providing exceptional customer service to a diverse population with professionalism, empathy, and sound judgment. Experience coordinating meetings and preparing materials for committees and advisory bodies, working with external community partners, and supporting community-based programs is highly desirable. The successful candidate will demonstrate initiative, adaptability, discretion, and the ability to work both independently and collaboratively while supporting multiple divisions, projects, and priorities. Bilingual skills, particularly in Spanish, are desirable and will enhance the Department's ability to effectively serve Newark's diverse community.

COMPENSATION & BENEFITS
Administrative Support Specialist II: $38.95 - $47.34
The City offers an outstanding benefits package that includes:
- Health Insurance: The City contributes the following amounts to employee health and welfare benefits:
- Employee only: $1,026
- Employee + 1 dependent: $2,049
- Employee + 2 or more dependents: $2,706
If employee declines all medical insurance with the City, employee may receive up to $450 cash in lieu per month. If employee participates in the cafeteria plan, but does not utilize the full benefit, employee will receive up to $450 “cash-back” per month. Any cash back will be paid to the employee in taxable compensation. Proof of medical insurance is required.
- Retirement: CalPERS 2.5% @ 55 for Classic members or 2.0% @ 62 for New PEPRA members. The City does not participate in Social Security. The City participates in Medicare.
- Vacation Accrual: 6.667 to 16.667 hours per month depending upon years of service.
- Sick Leave: Up to 8 hours per month.
- Holidays: 14 paid holidays per year.
- Deferred Compensation: Voluntary participation.
- Life Insurance: City-paid $50,000 life policy.
- Educational Reimbursement: Up to $4,000 per employee per fiscal year.
- Long-term and Short-term Disability: Voluntary participation.
- Wellness: On-site bicycle lockers, and employee wellness activities such as workshops, fitness challenges, and informal meetings.
- Health & Fitness: Employees and eligible family members living in the same household may use the Silliman Activity & Family Aquatic Center free of charge. Additionally, employees and their eligible family members receive resident rates for class registration and facility rentals.
