Job Overview

Adaptive Green is a leader in green roofs, stormwater management systems, and external amenities. We have designed, installed, and maintained over 500,000 square feet of projects for clients such as the United Nations, Toll Brothers, Lendlease, and Turner. Our projects include the United Nations Gandhi Peace Garden, Central Park Harlem Meer Center, the Javits Center Expansion, and the Chrysler Building.

Adaptive Green is seeking a detail-oriented and motivated Project Accountant to join our fast-paced team. The ideal candidate will be responsible for the full-cycle accounting of construction projects, from initial setup to final closeout. This role is critical in ensuring the financial accuracy of our projects through meticulous project setup, subcontract management, comprehensive invoicing, and certified payroll compliance.

Duties and Responsibilities:

Project Setup & Administration:
Set up new projects in the accounting system, enter project estimates, and maintain budget integrity.
Process and track project change orders, ensuring financial records are consistently up-to-date.
Billing & Invoicing:
Generate and submit timely and accurate monthly project billings and applications for payment (e.g., AIA G702/G703).
Manage the collection and submission of all required lien waivers and supporting documentation for timely payment.
Subcontractor & Vendor Management:
Create and manage subcontract orders.
Process subcontractor invoices, verify percentage of completion, and manage appropriate lien releases for payments.
Certified Payroll & Compliance:
Prepare and submit weekly certified payroll reports, ensuring compliance with federal and state prevailing wage requirements.
Maintain accurate labor records and perform monthly labor cost allocations.
General Accounting & Reconciliation:
Manage all project and employee-related expense reports, reviewing for accuracy, ensuring compliance with company policy, and coding expenses to the appropriate jobs and cost codes.
Perform bank reconciliations and prepare miscellaneous journal entries.
Reconcile project commitments, payments, and billings upon job closing.
Assist in providing documentation for internal and external audits.
Communication:
Serve as a key financial point of contact, responding promptly to inquiries from subcontractors, vendors, and internal team members.
Perform other related duties as assigned.

Qualifications:

Bachelor’s degree in Accounting or a related field.
Minimum of 2+ years of accounting experience, with a strong focus on job costing and construction accounting.
Direct experience with Quickbooks Desktop Contractor Edition and Google Workplace
Proficiency in the Microsoft Office (Excel and Word).
Experience in processing certified payroll is strongly preferred.
Excellent organizational skills, high attention to detail, and the ability to manage multiple projects simultaneously.
Proven experience in accounting within the manufacturing or construction industry with strong knowledge of cost accounting analysis and technical accounting principles.
Proficiency in financial software such as QuickBooks and other ERP systems for effective data management.
Ability to perform cash flow analysis, budgeting, forecasting, and cost analysis confidently.
Experience with public accounting practices or corporate accounting environments is highly desirable.
Strong organizational skills with attention to detail in account reconciliation and account analysis tasks.
