Full Job Description

The Project Coordinator oversees the coordination of all aspects of our projects using efficient operational procedures. The primary goal for this project coordinator is to ensure that projects stay on track by effectively communicating with the project management teams, customers, and vendors to identify timelines for required resources. A key function for this project coordinator is to monitor and track the project’s progress to identify and manage potential risks. A critical function in this role is to identify equipment and material lead times to procure items in a timely manner. This project coordinator is required to obtain and store documentation from vendors, so we have accurate accounting of the customer’s equipment for projects and after installation sales and service. A key component in this role is to work with the project management team and accounting department to identify and input assemblies into the accounting software to ensure accurate inventory and capture small components more efficiently. The project coordinator ensures that all documentation, including but not limited to, recommended spare parts, system training documentation, and the customer portal are set up and maintained from the inception of the project.

Duties and Responsibilities

· Generate and update project plans using equipment & material lists.

· Create project folders for ERS file storage across multiple applications.

· Create customer portals to file share key documents with customers.

· Maintain all project related files and lists across multiple applications.

· Procure equipment and materials based on project timelines and vendor lead times.

· Obtain and store equipment documentation prior to project’s completion.

· Develop a Spare Parts Package for projects prior to installation.

· Work with the engineering department to create a material take-off list for duct and piping.

· Coordinate deliverables with ERS installation supervisors and/or customer contacts.

· Schedule and run project stake holder meetings – prepare agenda and distribute action item list at the conclusions of meetings.

· Monitor project costs and report to the project manager.

· Monitor customer payment terms/schedule and report to project manager.

Skills

· Knowledgeable of MS Office Suite.

Job Type: Full-time

Pay: $80,000.00 - $108,000.00 per year
