Role DescriptionThe right candidate is detail-oriented, proactive, able to follow up consistently, and comfortable working in a fast-paced construction environment.

Primary Responsibilities

Assist estimators and project managers with daily administrative and project-related tasks.
Coordinate communication between the office, field crews, subcontractors, suppliers, and customers.
Track the progress of multiple active construction projects.
Follow up with foremen on daily job status, production, outstanding needs, and scheduling updates.
Order materials and coordinate delivery schedules.
Coordinate subcontractors, suppliers, equipment, tools, manpower, and site deliveries.
Prepare, maintain, and organize project files, documentation, and job paperwork.
Obtain and track vendor pricing, material quotes, and supplier proposals.
Assist with preparing bids, proposals, and supporting estimating documentation.
Track permit applications, inspections, utility mark-outs, and municipal requirements.
Maintain project schedules, update calendars, and follow up on key deadlines.
Process and organize submittals, RFIs, change orders, purchase orders, and material delivery records.
Assist with job-cost tracking and related documentation.
Follow up on outstanding items to help prevent project delays.
Communicate with customers, engineers, architects, and municipalities as needed.
Maintain accurate records using Microsoft Office and construction-management software.
Answer phones and direct project-related calls to the appropriate team member.
Provide general office support to the estimating and project management departments.

Desired Qualifications

Highly organized, detail-oriented, and able to manage multiple priorities.
Strong written, verbal, and phone communication skills.
Comfortable working in a fast-paced construction environment.
Able to work independently while collaborating closely with a team.
Basic proficiency in Microsoft Word, Excel, and Outlook.
Construction, estimating, project coordination, or administrative experience is helpful, but not required.
Positive attitude, strong work ethic, and willingness to learn.
Reliable, dependable, and consistent with follow-through.
Strong problem-solving skills and the ability to stay calm under pressure.
Valid driver’s license preferred.

Pay: $65,000.00 - $75,000.00 per year
