Job Title: Bid Coordinator

Department: Sales Support

Location: Remote

Reports To: Sales Support Supervisor

Position Overview:

FirstKem is growing!

We're looking for a Bid Coordinator to join our Sales Support team. This is a fully remote position supporting our manufacturing operations by coordinating customer bid opportunities from receipt through final submission.

If you're highly organized, proactive, and enjoy keeping projects moving while working independently, this could be the perfect opportunity.

In this role, you'll work closely with Sales, Purchasing, Operations, Quality, and suppliers to gather information, prepare proposal packages, track deadlines, and ensure every bid is submitted accurately and on time.

This position focuses exclusively on bid coordination—you won't be responsible for day-to-day customer account management.

What You'll Do

Coordinate customer bid opportunities from start to finish.
Manage multiple projects and deadlines simultaneously.
Work closely with Sales, Purchasing, Operations, and Quality.
Follow up confidently with suppliers and internal teams to keep projects moving.
Prepare proposal packages and supporting documentation.
Track proposal deadlines and maintain bid schedules.
Help improve proposal processes and templates.
Ensure every proposal is accurate, complete, and submitted on time.

What We're Looking For

Exceptional organization and attention to detail.
Self-starter with high initiative.
Ability to work independently with minimal supervision.
Comfortable working in a fast-paced, deadline-driven environment.
Strong communication and follow-up skills.
Ability to confidently obtain timely responses from suppliers and internal stakeholders.
Microsoft Office proficiency (Excel and Word).
Experience with bid coordination, proposal administration, purchasing, project coordination, sales support, or administrative support preferred.
Manufacturing or industrial experience is a plus.
