Full Job Description

Gateline AI Inc. is a leading provider of enterprise security, video surveillance, access control, networking, AI analytics, and low-voltage technology solutions. We specialize in the design, installation, maintenance, and support of sophisticated security systems for commercial and condominium properties throughout South Florida.

We are seeking an experienced Part-Time Bookkeeper to manage our day-to-day accounting functions. The ideal candidate has previous bookkeeping experience with a low-voltage contractor, security integrator, electrical contractor, HVAC contractor, or another service-based installation company where technicians perform installations and service calls.

Position Summary

The Bookkeeper will be responsible for maintaining accurate financial records, processing customer invoices, managing vendor payments, reconciling bank accounts, and assisting management with financial reporting. Experience using Zoho Books is highly preferred.

Responsibilities

Maintain the company's books using Zoho Books (preferred).
Record daily financial transactions accurately and timely.
Prepare and issue customer invoices.
Process vendor invoices and schedule accounts payable.
Monitor accounts receivable and follow up on outstanding balances.
Reconcile bank accounts and credit card statements.
Record employee expense reimbursements.
Assist with payroll preparation by coordinating with the payroll provider.
Track sales tax and prepare supporting documentation.
Maintain vendor records and W-9 documentation.
Work closely with project managers to ensure installation projects and service calls are properly billed.
Review technician work orders to verify billable labor, materials, and service charges.
Assist in tracking project costs and job profitability.
Prepare monthly financial reports including:
Profit & Loss
Balance Sheet
Accounts Receivable Aging
Accounts Payable Aging
Cash Flow Summary
Assist with year-end accounting and provide documentation requested by the CPA.
Maintain organized electronic financial records.
Ensure confidentiality of all financial information.

Required Qualifications

Minimum 5 years of bookkeeping experience.
Experience with Zoho Books is strongly preferred.
Experience working for a company that performs:
Low-voltage installations
Security systems
Access control
CCTV
Electrical contracting
HVAC contracting
Fire alarm systems
Networking or structured cabling
Field service businesses with installation projects and service calls
Strong understanding of:
Accounts Payable
Accounts Receivable
Bank Reconciliations
General Ledger
Job Costing
Financial Reporting
Excellent organizational and time management skills.
Strong attention to detail.
Ability to work independently with minimal supervision.
High level of integrity and confidentiality.
Proficiency with Microsoft Excel and Microsoft Office.

Preferred Qualifications

Experience with Zoho CRM integration.
Experience with project-based accounting.
Experience with inventory purchasing and vendor management.
Familiarity with technician dispatching, work orders, and service billing.
Understanding of Florida sales tax requirements.

Schedule

Part-Time
Approximately 4-8 hours per week (flexible based on workload).
Additional hours may be available during month-end and year-end closing periods.
