Role Overview:
The majority of this job, especially at the start, is routine purchasing execution done well: building purchase orders and recording receipts, keeping records accurate, checking reorder recommendations, and following up with suppliers until questions are closed. It's detail work, some of it repetitive, and it matters. Our software, suppliers, and fulfillment channels change often, so there is no single playbook to follow: you'll need to adapt when things change without losing accuracy or leaving threads open. If you need the process to stay the same month to month, this isn't your job. Alongside the core work, you'll own defined sourcing problems, researching options and bringing a recommendation. The owner handles negotiations and major commitments; your job is to bring the facts and a point of view. Hours flex with our seasons, and you'll work with a supportive, fun team that likes getting things right.
Key Responsibilities:
- Own the purchase-order cycle end to end in Finale, our inventory system: create, issue, update, receive, and close POs, keep supplier item numbers, costs, invoices, and receiving records current, and handle builds and stock transfers so inventory lands in the right location.
- Verify our forecasting software's reorder recommendations before any order goes out: check demand, seasonality, lead times, minimum order quantities, and what's already in transit.
- Monitor vendor price changes, keep costs current in our systems, and flag increases that affect margins for review.
- Follow up with suppliers until things are resolved: by email, by phone, and again if needed. When a vendor goes quiet, you close the loop or escalate with a recommendation.
- Review a vendor's full catalog when building a PO and surface sensible top-ups.
- Verify PO receipts against what the warehouse actually received, and drive inbound discrepancies to resolution.
- Coordinate inbound freight and delivery timing, from choosing cost-effective shipping methods to working with our customs broker on imported orders.
- Watch turnover, shelf life, and slow-moving inventory, and bring recommendations before product ages out.
- Keep teammates informed on product and order status: back-in-stock and discontinued updates, inbound shipments, and the product details our fulfillment and marketing teams need to do their jobs.
- Keep deadlines, recurring checks, and next actions visible in ClickUp, and raise risks before a stockout or price change becomes irreversible. Bring the problem, the evidence, your options, and a recommendation.
- Own a sourcing project through to the recommendation stage. Current examples include finding filler SKUs to round out truckload orders and consolidating overlapping supplier lines.
Candidate Profile:
- Hands-on experience with purchasing, inventory, operational ordering, or closely related work is preferred but not required. We care more about what you personally owned and can demonstrate than your title or number of years. The closest match is broad scope in a small, privately-owned business: ordering, records, vendor follow-up, and inventory decisions that were yours to get right, whether that was a store, a restaurant, a clinic, a construction office, a farm, or a business you ran yourself.
- Strong attention to detail, with a track record of keeping records accurate and following through on open threads.
- Resourceful: you research answers yourself before handing a problem back, and you bring options rather than open questions.
- Comfortable with spreadsheets and ready to learn our systems (Finale, ClickUp, Google Workspace). Comfortable working with AI tools, or genuinely willing to learn; you'll use them daily.
- You naturally compare options before a purchase or an operational decision: weighing quality against price, counting shipping and other costs in the real total, and recognizing when the best move is to wait or walk away.
- Reliable home internet connection and personal computer hardware for remote work.
- Experience with poultry and backyard chickens is highly valued, but not required, aligning with our industry passion.
- Military logistics or supply background is a plus, and the fully remote setup works well for military spouses.
