Overview
We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and efficient coordinator of our Cardiology office. This vital role involves managing front desk operations, handling multi-line phone systems, and providing exceptional administrative support to ensure smooth daily functions. The ideal candidate will be bilingual (english/spanish/albanian/arabic), possess strong organizational skills, and demonstrate a proactive attitude to support both internal teams and visitors with professionalism and enthusiasm. This paid position offers an exciting opportunity to develop your office management skills in a vibrant work environment.

Responsibilities

Greet visitors warmly, direct them appropriately, and manage front desk activities with excellent customer service and phone etiquette.
Operate multi-line phone systems efficiently, screen calls, take messages, and transfer calls accurately.
Manage office correspondence, including emails, mail distribution, and document proofreading to ensure clarity and professionalism.
Maintain organized filing systems, data entry records, and manage calendars for appointments and meetings using Google Workspace or Microsoft Office tools.
Support office management tasks such as bookkeeping with QuickBooks, invoicing, and basic bookkeeping duties.
Assist with clerical tasks including typing reports, organizing files, scheduling appointments, and supporting personal assistant responsibilities as needed.
Ensure the smooth operation of office supplies inventory and coordinate with vendors for procurement.

Skills

Proven experience in front desk operations and office management roles with strong organizational skills.
Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, data entry, and filing systems.
Excellent communication skills with a focus on phone etiquette; bilingual ability is highly desirable to serve diverse clients effectively.
Demonstrated clerical experience including proofreading, document preparation, calendar management, and time management skills.
Familiarity with customer service principles to support visitors and clients professionally.
Knowledge of QuickBooks for bookkeeping tasks; experience with data entry and record keeping is preferred.
