Position Summary
The Administrative Assistant plays a vital role in supporting daily operations within our Assisted Living and Memory Care communities. This position ensures smooth, organized, and welcoming front‐office functioning while providing exceptional service to residents, families, team members, and visitors. The Administrative Assistant is often the first point of contact—setting the tone for warmth, professionalism, and hospitality.
Key Responsibilities
Front Office & Customer Service
- Greet residents, families, visitors, and vendors with warmth, professionalism, and genuine hospitality.
- Answer and direct phone calls promptly and courteously.
- Maintain a clean, organized, and welcoming reception area.
- Support community tours by preparing materials and offering a friendly, knowledgeable presence.
Administrative & Operational Support
- Assist the Executive Director and department leaders with scheduling, communication, and general administrative tasks.
- Prepare, organize, and maintain community documents, reports, and resident files in accordance with regulatory standards.
- Support onboarding processes by preparing new‐hire packets, updating staff rosters, and coordinating training materials.
- Manage incoming and outgoing mail, deliveries, and correspondence.
- Assist with invoice processing, vendor coordination, and basic bookkeeping tasks as assigned.
- Filing and uploading documents in a timely manner
- Maintaining employee records in accordance with company policies and regulatory requirements, including audits, ensuring confidentiality and accuracy
- Onboarding of new employees including running background checks, assist with payroll by tracking timekeeping, PTO records and assist with all required documentation.
Resident & Family Support
- Provide helpful information, updates, and assistance to residents and families with kindness and clarity.
- Support Life Enrichment, Culinary, and Care teams by preparing sign‐in sheets, calendars, menus, and communication materials.
- Assist with event coordination, including invitations, flyers, RSVPs, and day‐of logistics.
- Assist with new resident move in and move out procedures
- All other duties as assigned
Communication & Culture
- Uphold Better Living’s values in every interaction—modeling respect, empathy, and teamwork.
- Support internal communication by helping draft memos, announcements, and community updates.
- Maintain confidentiality and professionalism at all times.
Qualifications
- Previous administrative or customer service experience preferred, ideally in senior living, healthcare, hospitality, or a similar service‐focused environment.
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office and comfort learning new software systems.
- Warm, friendly, and patient demeanor with a genuine desire to serve seniors and families.
- High level of professionalism, reliability, and attention to detail.
