Full Job Description

Position Summary

The Recon Manager is responsible for overseeing the entire vehicle reconditioning process from acquisition to frontline-ready status. In a BHPH environment, this role is critical to controlling inventory turn, minimizing holding costs, and ensuring vehicles are retail-ready quickly and cost-effectively to support the dealership's in-house financing model.

This position will be responsible for managing the Workflow and KPIs across all areas of the Recon/Make Ready department, including:

· Fresh Inventory Recon

· Repo Inventory Recon

· Customer Paid

· Warranties

· Comebacks

· Wholesale Inventory

· Fleet Accounts

Key Responsibilities

Workflow & KPI Management

· Own and manage the full Recon/Make Ready department workflow across all vehicle categories.

· Establish, track, and report KPIs for each area: cycle time, cost per unit, technician productivity, and frontline-ready rate.

· Use recon management software to monitor real-time status of every vehicle in the pipeline.

· Identify bottlenecks and implement process improvements to hit turnaround targets (goal: 5–7 days frontline-ready).

· Report daily/weekly to management on department performance across all recon categories.

Fresh Inventory Recon

· Oversee the reconditioning of all newly acquired used vehicles from check-in to frontline-ready.

· Coordinate mechanical inspections, detailing, cosmetic repairs, and safety checks.

· Minimize holding costs by ensuring vehicles move through the recon process without delays.

Repo Inventory Recon

· Prioritize and expedite reconditioning of repossessed units to return them to the frontline quickly.

· Assess repo vehicle condition upon arrival and assign appropriate recon scope.

· Coordinate with collections and sales teams on repo unit availability and disposition decisions.

Customer Paid Work

· Manage customer-pay repair orders from write-up through completion and vehicle delivery.

· Ensure accurate estimates, timely communication with customers, and quality control on all completed work.

· Track customer-pay RO cycle times and satisfaction metrics.

Warranties

· Oversee all warranty repair orders, ensuring proper documentation and timely submission.

· Coordinate with warranty administrators and vendors to process claims accurately.

· Monitor warranty costs and flag recurring issues for management review.

Comebacks

· Track and manage all comeback vehicles (vehicles returned due to incomplete or unsatisfactory repairs).

· Identify root causes of comebacks and implement corrective actions to reduce recurrence.

· Hold technicians and vendors accountable for comeback rates as part of their KPI review.

Wholesale Inventory

· Manage light recon and preparation of vehicles designated for wholesale.

· Balance recon investment against expected wholesale value to protect margins.

· Coordinate timely staging and release of wholesale units.

Fleet Accounts

· Serve as the primary point of contact for fleet account service and reconditioning needs.

· Manage scheduling, workflow, and turnaround times for fleet vehicles to meet account SLAs.

· Maintain strong relationships with fleet account managers and ensure consistent service quality.

Vendor & Technician Management

· Source, onboard, and manage internal technicians and outside vendors.

· Require vendors to be available a minimum of 2x per week to maintain turnaround targets.

· Hold vendors accountable to time and cost standards; replace underperformers as needed.

· Prevent duplicate billing and vendor fraud through centralized check-in processes.

Qualifications

· 5+ years of automotive reconditioning, service, or used car operations experience.

· Prior experience in a BHPH, independent, or high-volume used car dealership preferred.

· Proven ability to manage multiple recon categories simultaneously (fresh, repo, customer pay, warranty, fleet, etc.).

· Strong vendor management and negotiation skills.

· Proficiency with recon workflow software (e.g., vAuto, Rapid Recon, or similar).

· Experience with dealership management software is a plus — familiarity with IDMS (Integrated Dealer Management System) is highly preferred.

· Ability to manage multiple vehicles and vendors simultaneously.

· Detail-oriented with strong organizational and time management skills.

· Valid driver's license with a clean driving record.

Pay: $60,000.00 - $100,000.00 per year
