Full Job Description

Sales Administrator

The Sales Administrator provides administrative and operational support to the Sales and Program Management teams. This role is responsible for maintaining accurate sales records, managing customer portals, coordinating purchase order activities, supporting program launches, and ensuring timely communication between internal departments and customers.

Key Responsibilities

Phase 1 – Sales Administration

Maintain the sales log database, ensuring all customer and quote information is accurate and up to date.
Upload and organize all required sales documentation.
Audit sales records to verify all required information has been completed.
Follow up with Account Managers regarding quote status and outstanding documentation.
Manage all customer portals, including maintaining customer information, uploading required documents, and ensuring compliance with customer requirements.

Phase 2 – Program Transition & Purchase Order Administration

Maintain the purchase order database with accurate and current information.
Create purchase orders and verify that all associated costs have been approved and budgeted by the appropriate Program Manager.
Collect and organize customer quotations from the Sales team in preparation for Program Handoff Meetings.
Support the transition of awarded business from Sales to Program Management by ensuring all required documentation is complete.

Phase 3 – Program Support

Coordinate with internal departments to complete, maintain, and submit customer packaging forms and related documentation.
Prepare and issue tooling invoices to customers.
Assist in gathering and submitting customer updates related to production capacity and capacity planning.
Submit raw material requests through customer portals in accordance with customer requirements and timelines.
Support cross-functional teams by tracking outstanding customer requirements and ensuring timely completion of assigned administrative tasks.

Qualifications

Experience in an automotive manufacturing or automotive supplier environment preferred.
Associate's or Bachelor's degree in Business, Sales, Supply Chain, Finance, or related field preferred.
Minimum 3 years of experience in automotive manufacturing, automotive sales administration, customer service, or program support
